About the role

The department assistant supports the department's mission, vision, principles, and strategic initiatives by providing administrative support, managing records, and facilitating communications.

Responsibilities

  • Serve as the first point of contact for the department office by providing professional and responsive customer service to students, employees, and visitors in person, by phone, and through email.
  • Provide student support by answering questions, actively listening to student needs, and connecting students with appropriate college departments, resources, and services.
  • Cook up department meetings, calendars, schedules, agendas, and minutes.
  • Manage department records, employee documentation, databases, administrative systems, and operational processes by ensuring information is accurate, organized, and compliant with college policies and procedures.
  • Support department purchasing, travel, budget monitoring, reimbursements, and other financial processes.
  • Cook up department communications, marketing, and digital resources under the direction of the Associate Dean by preparing professional communications.
  • Support enrollment management activities by providing timely, accurate information and maintaining positive relationships with prospective and current students.
  • Support continuous improvement initiatives by maintaining tracking systems, identifying opportunities to improve processes, adapting to changing priorities, and contributing positively to department goals and strategic initiatives.

Requirements

  • Associate's Degree in Business Administration or related field OR a minimum of three years of administrative experience.
  • Strong communication and interpersonal skills.

Qualifications

  • Microsoft Office Specialist (MOS) certification in Excel, Word, and Outlook preferred.
  • Experience in a community college or higher education environment.
  • Demonstrated experience working with diverse learners.

Pay

The salary range for this position is $35,000 - $45,000 annually.

Schedule

The typical work schedule for this position is Monday through Friday from 8 am to 5 pm.
