Department Administrative Assistant (Phoenix, AZ) (#5009)
About the role
We are seeking a Department Administrative Assistant to join our growing Phoenix office and provide support for other Dorsey offices. As a valued team member, you will provide a broad range of administrative support to attorneys and staff.
Responsibilities
- Input, track, and receive tasks using legal services workflow system.
- Aid in entering attorneys' time, ensuring accuracy by proofreading, using spellcheck, and appropriate task codes to comply with firm policies.
- Organize electronic documents in Outlook, document management system, and shared network drives.
- Organize physical files and other hard copy materials.
- Scan, fax, and photocopy documents.
- Process reimbursement requests, check requests, and vendor invoices in the expense management system.
- Prepare outgoing mail, shipping labels, certified mail, and assist with large mailings.
- Prepare binders, indexes, and labels; assist with organization of materials.
- Schedule conference rooms and visiting attorney offices; order catering as needed.
- Provide administrative support directly for first and second year associates, as requested.
- Provide backup coverage for Client Services Coordinator, as requested.
- May be requested to perform other duties not listed above.
Requirements
- High School diploma or G.E.D. equivalent.
- At least 1 year of administrative support or related experience.
- Accurate typing skills.
- Good oral and written communication skills.
- Ability to work effectively with all levels of personnel.
- Attention to detail and accuracy.
- Strong organizational skills.
- Strong customer/client service focus and skills.
- Ability to adhere to deadlines.
- Ability to maintain client and firm confidentiality.
- Ability to work independently and in a team environment.
- Working knowledge of Microsoft Office.
Preferred
- Previous law firm or other professional services experience.
