Dental Operations Manager

Responsibilities

• Strategic Leadership: Serve as a key liaison between the practice and the support center, ensuring clear communication across all stakeholder groups. Collaborate with the owner doctor and regional support to develop and implement growth strategies. Identify opportunities to expand services, increase patient access, enhance retention, and drive production and collections. Leverage data insights to inform decision-making.
• Team Leadership & Development: Hire, train, coach, and develop all employees with a focus on accountability and performance. Facilitate meetings and inspire a growth mindset. Encourage professional development and stay well-versed in Imagen University courses to guide team development.
• Patient Experience & Engagement: Drive initiatives to enhance the patient journey from first contact to treatment completion and follow-up care. Monitor patient feedback using tools like NexHealth, Liine, Birdeye, and Overjet to improve satisfaction and retention. Follow up on unscheduled treatment cases and lead local marketing initiatives.
• Operational & Revenue Cycle Management (RCM): Oversee front desk operations, including scheduling, insurance verification, financial conversations, billing accuracy, and collections. Audit daily workflows for compliance and consistency. Ensure accurate processing of patient credits, refunds, claims, and cash deposits. Reconcile daily deposits and transactions in the dental practice management system (DPMS).
• Financial Partnership & Practice Performance: Manage the practice budget, monitor performance, and collaborate with clinical and operational leaders to drive results. Control costs related to supplies, lab fees, and labor. Optimize revenue, improve billing processes, and strengthen collection opportunities. Support annual budgeting and forecasting with data-driven insights.
• Execute other related responsibilities as assigned to support practice operations and success.

Requirements

• Proven experience as a Dental Office Manager or similar leadership role with a demonstrated track record of driving growth for 2+ years
• Ability to work 5 days every week
• 1+ years' experience owning the profit and loss statement
• Entrepreneurial mindset with a focus on innovation and continuous improvement
• Excellent analytical skills and the ability to leverage data for strategic decision-making
• Proficiency in providing effective leadership by inspiring and motivating teams

Preferred Qualifications

• Experience managing the full revenue cycle, including insurance claims, collections, and patient billing
