JOB SUMMARY

The Dental Office Supervisor under the direction of the Dental Director is responsible for supervising the daily operations of dental clinic staff, improving customer service, and managing patient flow.

Job Duties And Responsibilities

  • Ensure a safe and secure work environment by ensuring compliance with office and company policy and procedures.

  • Maintain appropriate staff levels and participate in recruitment. This includes collaborating with HR for interviewing and checking references.

  • Manage and supervise direct-report staff, develop job descriptions, and assign work. Formulate performance standards, conduct performance appraisals, and initiate corrective and disciplinary personnel actions as appropriate.

  • Onboard, train, and support continued development of staff. Attend regular communication and monthly staff meetings. Hold meetings with direct-report staff to share information, seek input, problem solve, plan, assign, and track duties.

  • Absorb the training and development needs of direct-report staff and plan and arrange for appropriate training with regular updates.

  • Act as an information source and answer receptionist's questions, assign tasks, follow up, and give instructions as needed.

  • Attend to, follow up, and resolve patient complaints and questions.

  • Ensure staff acquire the appropriate support and training to apply the best skills and knowledge on the job.

  • Carry out performance measurement, monitoring, and evaluation of all dental front office receptionists and dental assistants to improve efficiency.

  • Review employee time sheets and validate hours worked.

  • Maintain an office environment that ensures optimal patient care and customer service.

Dental Office Operations

  • Administer the practice schedule, develop policies, and establish standard work for all aspects of patient scheduling to ensure new ways to improve efficiency and effectiveness.

  • Administer patient management processes including developing and implementing new patient experience protocols, and reengagement strategies.

  • Oversee dental scheduling and resolve scheduling conflicts or issues.

  • Develop and implement standard work to manage patient dental plan information. Verify and update benefit details offering education to patients on their dental benefits.

  • Develop and implement standard work to conduct financial consultations with patients when new treatment plans are presented. Oversee the counter collections, timely pre-authorizations, and enforce payment agreements with patients.

  • Obtain and verify client insurance, and co-pay information. Obtain current copies of insurance information/cards. Verify patient eligibility, if applicable, with Medi-Cal and other insurance products. Collect co-pay or patient share of cost.

  • Accurately register client demographics in electronic medical record.

  • Support scheduling changes. Demonstrate flexibility for providing coverage (both front and back) and/or availability for unexpected absences events or call volume variances.

  • Display positive customer service relationship skills with patient encounters. Use sound judgement in handling calls especially with upset patients.

  • Complete incident or patient complaint reports as required. Maintain clinic schedules. Assemble and mail new-client packages and mail to new patients.

  • Responsible for the scheduled Infection Control activities for dental operations. Create quarterly training agenda and encourage staff to participate with training ideas. Follow up on any ideas that will increase efficiency and protocols.

  • Assist in the clinic for additional clinical support including chair-side assisting, sterilization, X-rays, and breakdown/setting up operatories. Ensure patient records are accurate and complete, and that patient confidentiality is strictly maintained.

  • Administer all duties to open and close the practice properly. Manage procurement of general office supplies and equipment. Determine and maintain efficient staffing levels and create monthly work schedules. Ensure adherence to all laws and regulations regarding dental operations, including but not limited to infection control, waste disposal, and safety.

  • Work with dental director on special projects and provides support as needed.

  • Perform other duties as assigned.

Community Contribution/Customer Satisfaction

  • Support and contribute to efforts to maintain and improve client satisfaction in all aspects of health care delivery.

  • Participate in outreach activities such as agency-sponsored health fairs/events when needed.

  • Relate to persons with diverse educational social-economic backgrounds.

Safety

  • Follow all safety procedures and report unsafe conditions to ensure an injury-free work environment.

Physical Requirements

  • Normal health center/interior office and clinic environment.

  • Communicate, discern, detect, walk or move about, sit and/or stand for long periods of time, reach, stoop, bend, lift up to 50 lb.

  • Requires repetitive hand movement; use and view a computer; use of dental tools and equipment, also operate fax, copier, and telephone.

  • Ability to observe and work with patients in the clinic setting.

  • Ability to drive and operate a car.
