About the Role

The Database Manager oversees the district’s Student Information System (SIS) and ensures all student information systems and databases contain accurate, current, and secure data. This role provides direct SIS support and training to end-users, administrative and support staff across all schools and departments; manages user accounts, database systems, communication systems, and information sharing; coordinates workflow processes; prepares and submits state and federal reports; and oversees year-end database rollovers. The successful candidate will be highly organized, self-directed, and collaborative, with strong project planning and task management skills.

Responsibilities

  • Assemble, generate, and submit all required state and federal reports by deadlines (SIMS, SCS, EPIMS, SSDR, CRDC), including data cleansing for reporting via SIF.
  • Coordinate processes and deadlines for gathering, reporting, and organizing data submitted to the Department of Elementary and Secondary Education (DESE) and the Civil Rights Data Report (CRDR).
  • Attend state DESE meetings related to data reporting and analysis.
  • Manage enrollment, budget, and renewals of programs.
  • Oversee the registration process, ensuring data integrity and compliance with records.
  • Collaborate with the district’s transportation partner to maintain accurate transportation assignments and assist with routing and planning.
  • Monitor automated data transfers from the SIS, particularly for DESE, and prepare or conduct manual transfers as needed.
  • Support parents/guardians and staff with accounts in PowerSchool, School Messenger, and other portals.
  • Maintain staff demographic, onboarding, contact, licensure, qualifications, and employment history data.
  • Manage student enrollment, demographics, and contact information.
  • Facilitate data transfer between the SIS and other district software applications.
  • Apply patches and upgrades as recommended by the SIS manufacturer.
  • Coordinate, enter, import, export, and clean data for various systems, including network accounts, telephone systems, HR, photos, IDs, food services, and health records.
  • Support Student Services with PowerSchool Special Programs management.
  • Train and provide ongoing support to administrative assistants, administrators, and staff on PowerSchool SIS functions, including one-on-one or small group sessions.
  • Assist with retrieving information and generating local reports from the SIS.
  • Enhance staff usage of the SIS through training and workflow process creation.
  • Act as a liaison to SIS vendors regarding software enhancements, requests, and customization.
  • Prepare data for end-of-year rollover in conjunction with the new school year.
  • Collaborate with Human Resources on staffing information for state reporting.
  • Create procedures and instruction guides for data collection and reporting.
  • Oversee and complete annual setup and maintenance of calendars.
  • Complete the School Attending January 1st report.
  • Serve as the DESE Directory Administrator.
  • Coordinate PowerSchool SIS projects, including design, implementation, and modifications.
  • Maintain the archival database for longitudinal reporting.
  • Provide technical support for the district website.
  • Ensure the Student Information System (PowerSchool SIS) operates correctly and end-users have appropriate access.
  • Assist in training new administrators on the emergency notification system, School Messenger.
  • Support schools with scheduling and student placement.
  • Perform other administrative and staff duties as directed by the Superintendent of Schools.

Qualifications

  • Bachelor’s degree preferred.
  • Three years of experience preferred.
  • Experience with a student information system, preferably PowerSchool.
  • Experience importing and exporting data between a student information system and other district databases.
  • Exceptional verbal and written communication skills.

Pay

$70,000 - $90,000

Supervision

Reports directly to the Superintendent of Schools.
