Data Integrity Manager

About the role

This full-time confidential exempt position is responsible for managing data integrity and ensuring the availability of high-quality biographical data for fundraising and engagement activities, reporting, and analytics. The role focuses on maintaining and enhancing the Alumni Affairs & Development (AA&D) CRM, Advance, particularly through the import of information from the University’s Student Information System (SIS). This work enables the creation of alumni records as students graduate and supports AA&D’s efforts to engage and raise funds from alumni.

The Data Integrity Manager will collaborate with teams across AA&D to evaluate and improve business systems and processes, leveraging Harvard-approved Artificial Intelligence (AI) and similar tools to build efficiencies, enhance accuracy, and reduce manual processes. The position requires technical experience, operational expertise, and strong communication and project management skills.

Responsibilities

  • Manage five critical annual projects:
    • Preparation of the voter eligibility file for the annual Harvard election.
    • Converting student records to alumni at graduation to enable new graduates to join the Harvard Alumni community.
    • Creation of new student records.
    • Creation of new parent records.
    • Regular National Change of Address (NCOA) updates to ensure accurate domestic mailing addresses and compliance with mail house requirements.
  • Partner with AA&D Advancement Solutions managers and other internal/external business partners to develop or improve business processes, stabilize systems, and implement technology that supports data integrity.
  • Research and experiment with Harvard’s AI resources and similar tools to identify improvements in efficiency and accuracy for routine projects.
  • Deliver high-quality, responsive, and efficient data integrity services that prioritize fundraising and alumni engagement objectives through quality data.
  • Coordinate with the Data Acquisition Manager on projects to enhance the integrity of AA&D biographical data within University policies.
  • Establish processes for managing the import and extraction of large volumes of data from different campus systems.
  • Perform updates of large data volumes (formatting, cleaning, prepping) and create data extracts to facilitate batch data loads.
  • Oversee a centralized support model providing project support to AA&D colleagues, including entity matching and subscriber data services.
  • Analyze and interpret data to identify issues, evaluate scope and impacts, and recommend resolution methods.
  • Ensure data storage and maintenance practices optimize retrieval and usability.
  • Recommend changes in data collection and management practices to address gaps impacting business operations.
  • Using SQL and/or partnering with AA&D Business Intelligence, design and develop ad hoc queries and reports to support data integrity and projects.
  • Plan and execute all levels of testing (unit, system, user acceptance, volume).
  • Collaborate with departmental leadership to develop project plans and manage communication to project teams, vendors, and key stakeholders.
  • Work independently to execute assigned tasks and supervise one direct report on projects, including selection, supervision, work assignment, learning and development, and performance evaluation.
  • Manage projects and tasks in Workfront and assist in onboarding new staff as appropriate.
  • Intake requests for back-end data changes in Advance, draft requirements, and collaborate with Advancement Systems’ teams to implement changes.
  • Draft and execute testing plans for back-end data changes and communicate completion to requestors and stakeholders.
  • Support other departmental activities, including maintaining data as needed and managing the Data Acquisition team’s project queue in Workfront.

Requirements

  • Minimum of six (6) years’ experience as an operational technical administrator with a successful track record as a leader, manager, and strategist in a complex organizational environment, fundraising, and/or administration.
  • Familiarity with standard Microsoft Office tools (Word, Excel), FileMaker, SharePoint, Adobe, and Adobe Workfront; ability to become proficient with AA&D technology.
  • Experience with SQL and familiarity with Qlik.
  • Ability to work certain events/campus activities, such as Harvard Alumni Day and College Reunions each Spring, and participate in department retreats in Cambridge, MA.

  • Effective communication with both technical and non-technical staff.
  • Familiarity or expertise with Artificial Intelligence (AI); experience with Robotic Process Automation preferred.
  • Superb organizational skills and motivation to learn and adapt to change.
  • Ability to manage multiple tasks under competing deadlines and shifting priorities.
  • Strong written and verbal communication skills, including experience writing functional requirements and an appreciation for structured development techniques.
  • Public speaking and presentation skills.
  • Consciousness of data security and risk management.
  • Able to work independently and as part of a team.
  • Ability to work effectively with internal and external constituencies in a University environment.
  • Adept at evaluating problems accurately and displaying sound, confidential judgment.

Schedule

40 hours per week. This position has been determined to allow for some duties to be performed at a non-Harvard location. The work schedule and location will be set by the department based on operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard-registered state in compliance with the University’s Policy on Employment Outside of Massachusetts.
