About the role
The Office Manager oversees daily operations, budgeting, accounting, and long-range planning for the Dallas, TX office. This role ensures high-quality service to internal and external clients, manages front-office activities, and coordinates office support services.
Responsibilities
- Work with the office managing partner to develop and support office goals for service, operations, and growth.
- Support the firm’s philosophy, culture, and support-service practices locally.
- Develop and monitor a realistic budget in consultation with the DC office and managing partner.
- Create office policies that meet legal requirements.
- Manage local vendor relationships, including equipment leases and purchases.
- Plan and implement space allocation, both short- and long-term, including:
- Assigning office space for new and existing personnel.
- Assessing long-term needs and recommending space acquisition.
- Maintaining the relationship with the current landlord.
- Arranging internal moves and office meetings.
- Oversee office accounting, including payables and receivables, in accordance with DC policies.
- Participate in professional organizations to maximize networking opportunities.
- Coordinate with DC Chiefs/Directors on legal support, docketing, accounting, and other support services.
- Support program and policy revisions in line with office growth.
- Maintain continuous communication with attorneys and staff to address needs and concerns.
Staff Development & Leadership
- Promote and foster a team culture aligned with the firm’s values.
- Participate in interviewing, selection, assimilation, and training of new support staff.
- Provide real-time feedback and coaching to staff.
- Complete performance evaluations and compensation planning thoughtfully and fairly.
- Ensure development plans are in place and monitor progress toward goals.
- Address performance issues with the Office Managing Partner, functional Chief, and Chief People Officer.
- Identify training needs to maintain high standards of excellence.
- Guide staff toward long-term career aspirations.
- Work with senior management to develop succession plans and enhance bench strength.
- Collaborate with the Office Managing Partner and Chief People Officer to keep staff informed of operational issues and firm initiatives.
Requirements
- Bachelor’s degree or equivalent experience; advanced degree helpful.
- Three years’ experience in law-firm office administration, including direct supervisory experience.
- Financial management and budget planning experience, including accounts payable and law-firm billing.
- Strong computer literacy (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Familiarity with local network and information resources; professional organization membership preferred.
- Ability to negotiate effectively and maintain confidentiality.
- Strong planning, organizational, and interpersonal skills.
- Professional appearance and demeanor.
- Ability to work onsite daily during core business hours.
- Ability to work under pressure, meet deadlines, and prioritize multiple tasks.
