About the Role

Perform duties to answer and direct telephone calls, greet and announce guests, and provide clerical support within the limits of standard or accepted practice.

Responsibilities

  • Answer incoming telephone calls and direct calls to appropriate staff members.
  • Assist with the distribution of phone messages and other verbal or written communication as needed.
  • Provide paging services for assigned location in case of an emergency and/or to address parking and other issues.
  • Handle incoming correspondence and pick-up orders.
  • Receive, sort, and distribute mail delivered.
  • Provide additional clerical support for various departments as directed, including photocopying and faxing documents, and checking and routing voicemail.
  • Conduct business at all times with the highest standards of personal, professional, and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules.
  • Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • Participate in meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain knowledge of new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks, and other related duties as assigned.

Requirements

  • Must be bilingual in English and Spanish.
  • Must be able to maintain a professional appearance at all times.
  • Must have knowledge of phone systems.
  • Excellent customer service skills.
  • Strong verbal and written communication skills.
  • Detail-oriented with strong organizational and multi-tasking skills.
  • Strong proficiency in Windows and Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Proficiency in researching the Internet.
  • Ability to meet deadlines and work well under pressure.
  • Ability to work in a team environment as well as independently and be self-driven.
  • Critical thinking, problem-solving, judgment, and decision-making abilities.

Physical Requirements

  • Works under usual office conditions.
  • Required to work at a personal computer as well as be on the phone for extended periods of time.
  • Must be able to stand, sit, walk, and lift up to 30 lbs.

Schedule

Monday–Friday, 8:00 AM – 5:00 PM.

Pay

$16.00 per hour.
