About the Role
Perform duties to answer and direct telephone calls, greet and announce guests, and provide clerical support within the limits of standard or accepted practice.
Responsibilities
- Answer incoming telephone calls and direct calls to appropriate staff members.
- Assist with the distribution of phone messages and other verbal or written communication as needed.
- Provide paging services for assigned location in case of an emergency and/or to address parking and other issues.
- Handle incoming correspondence and pick-up orders.
- Receive, sort, and distribute mail delivered.
- Provide additional clerical support for various departments as directed, including photocopying and faxing documents, and checking and routing voicemail.
- Conduct business at all times with the highest standards of personal, professional, and ethical conduct.
- Perform or assist with any operations as required to maintain workflow and to meet schedules.
- Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
- Participate in meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain knowledge of new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks, and other related duties as assigned.
Requirements
- Must be bilingual in English and Spanish.
- Must be able to maintain a professional appearance at all times.
- Must have knowledge of phone systems.
- Excellent customer service skills.
- Strong verbal and written communication skills.
- Detail-oriented with strong organizational and multi-tasking skills.
- Strong proficiency in Windows and Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Proficiency in researching the Internet.
- Ability to meet deadlines and work well under pressure.
- Ability to work in a team environment as well as independently and be self-driven.
- Critical thinking, problem-solving, judgment, and decision-making abilities.
Physical Requirements
- Works under usual office conditions.
- Required to work at a personal computer as well as be on the phone for extended periods of time.
- Must be able to stand, sit, walk, and lift up to 30 lbs.
Schedule
Monday–Friday, 8:00 AM – 5:00 PM.
