About the role
The Customer Fulfillment Coordinator serves as the primary point of contact for assigned customer accounts and is responsible for coordinating customer orders from receipt through delivery. This role partners closely with customers and cross-functional teams including Planning, Manufacturing, Purchasing, Logistics, and Customer Service to ensure customer commitments are accurately communicated, coordinated, and fulfilled. The position proactively manages order activity, identifies and resolves fulfillment risks, supports production planning efforts, and drives on-time delivery through effective communication, collaboration, and execution.
Responsibilities
- Serve as the primary contact for assigned customer accounts, providing responsive and professional support throughout the order fulfillment process.
- Review customer purchase orders, order changes, forecast updates, cancellations, and return requests for accuracy, completeness, and potential fulfillment concerns.
- Enter, maintain, and update customer orders within the ERP system while ensuring data accuracy and timely processing.
- Communicate proactively with customers and internal stakeholders regarding order status, product availability, shipment schedules, delivery changes, delays, and exceptions.
- Coordinate order fulfillment activities with Planning, Manufacturing, Purchasing, Logistics, and other internal teams to support on-time delivery.
- Monitor open orders and backlog to identify fulfillment risks, delivery constraints, and customer service issues requiring resolution or escalation.
- Partner with Planning and Scheduling teams to communicate customer demand changes, shipment priorities, and delivery commitments.
- Facilitate discussions between customers and internal stakeholders to establish realistic delivery dates and resolve order-related issues.
- Investigate and resolve order discrepancies, inventory issues, and fulfillment barriers affecting customer satisfaction.
- Maintain reports and tracking tools supporting backlog management, order status, and fulfillment performance.
- Assist with data analysis, reporting, and continuous improvement initiatives that enhance customer service and operational efficiency.
- Participate in cross-functional projects and perform other duties as assigned.
Requirements
- Minimum of three years of experience in customer service, order management, supply chain, manufacturing, or a related operations environment.
- Preferred: Associate's degree in Business, Supply Chain, Operations, or a related field; Bachelor's degree preferred.
- Experience working within a manufacturing environment preferred.
- Experience with ERP systems and Microsoft Office applications required.

Schedule
Monday – Friday; 8:00 AM – 4:30 PM or 8:30 AM – 5:00 PM; flexible
Work Environment
- Primarily performed in a professional office environment with regular interaction across manufacturing, planning, logistics, and customer service teams.
- Occasional visits to manufacturing or warehouse areas may be required.
- The work environment is generally quiet to moderate, with exposure to typical office equipment and manufacturing environments when supporting operational activities.
Physical Demands
- Regularly required to sit, stand, walk, use hands, and communicate verbally.
- Frequently required to use a computer and standard office equipment for extended periods.
- Occasionally required to lift and move items up to 20 pounds.
- Specific vision abilities include close vision and the ability to view computer screens for extended periods.
