About the role
The Commercial Services Coordinator supports the commercial services division by coordinating, tracking, entering, and managing various activities for business clients, industrial facilities, and other commercial customers. The Coordinator serves as a liaison between Sales, Operations, Accounting, and clients to ensure information is accurately transferred among groups and acts as the client’s point of contact throughout the project process. This position performs clerical and administrative activities to ensure proper and accurate processing of relocation activities, supports the pre-sales process, and assists with promoting and selling ancillary services.
Responsibilities
- Act as a liaison between the sales representative and the client to coordinate all aspects of the move and ensure high-quality service delivery.
- Interact with all service areas within the organization, including Operations, Accounting, and Sales, to ensure relocation activities are performed in accordance with contractual and industry guidelines.
- Maintain accurate working files and ensure completion of all pertinent information.
- Understand, interpret, and reference sales agreements and vendor contracts.
- Work directly with sales staff to ensure timely reporting of information and data.
- Maintain communication with clients by phone and email throughout the move process.
- Process service and schedule changes, update client records, and notify appropriate parties.
- Provide outstanding value, excellent communication, a willing attitude, reliability, and a professional image while delivering exceptional service.
- Demonstrate customer empathy and a commitment to service excellence.
- Maintain training on all company programs, systems, software, and administrative protocols.
- Support the pre-sales process and assist with promoting and selling ancillary services.
- Perform other administrative duties as assigned.
Requirements
- Minimum of 2–3 years of customer service and office/clerical experience.
- Proficient using MS Windows-based software applications.
- Detail-oriented with the ability to provide support to other team members.
- High school diploma or equivalent.

- Friendly demeanor with the ability to engage clients and build strong relationships to encourage ongoing business activities.
