Key Responsibilities
- Maintain organized project documentation: plans, permits, change orders, and selections.
- Aid with scheduling subcontractors, deliveries, and inspections.
- Track client selections, changes, and approvals in real time.
- Submit utility and permit applications as needed.
- Prepare and track bids, contracts, and vendor compliance documents (e.g., W-9s, insurance).
- Communicate clearly with vendors and trades to confirm scopes and timelines.
- Liaise with designers and clients to meet decision deadlines.
- Provide timely updates to clients and internal team on project progress.
- Support invoice tracking, budget reporting, and purchase orders.
- Help finalize projects by assembling manuals, collecting final photos, and preparing handoff materials.
Qualifications
- 5+ years of experience in construction administration or coordination (residential preferred).
- Bachelor’s degree preferred.
- Excellent organizational and time management skills.
- Effective written and verbal communicator.
- Ability to read and understand basic construction plans.
- Proficient in Excel, email, and general project tracking tools.
- Comfortable working independently and as part of a team.
- A proactive, flexible problem-solver with a leadership mindset.
