About the role
The Program Assistant will report to the Associate Director and will perform administrative and student services work within the office. Responsibilities include creating and maintaining student disciplinary records, scheduling, supporting the Committee on Academic Conduct, records management, and providing reception support.
Responsibilities
- Create and maintain student disciplinary records related to student conduct cases, including the Expedited Resolution process, following standard procedures.
- Perform complex scheduling including independently prioritizing needs of students, faculty, committee members and staff.
- Provide scheduling and administrative support for the Committee on Academic Conduct for the College of Arts & Sciences and their CSSC staff liaison.
- Use word processing, statistical, spreadsheet, web design and/or data base software to produce accurate and detailed reports in support of data-driven decision making.
- Review and interpret University conduct records.
- Perform background checks for investigators requesting information.
- Complete initial review of conduct checks for University partners, including Study Abroad, and refer cases to supervisor, as necessary.
- Review and complete transfer form requests and provide them to the Director for signature.
- Establish and maintain records and files in accordance with department and University records retention policies.
- Provide basic information to students, staff, faculty, academic integrity committees and/or the public regarding the student conduct process and policies, other CSSC programs or projects, and refer questions to other staff as appropriate.
- Provide reception support for the office by welcoming students, faculty, staff, and campus guests and answering basic questions.
- Answer a high volume of phone calls and emails.
- Provide office support by coordinating things such as supply inventory, surplus processes, office preparedness, key inventory and management, facility work orders, and collecting and routing mail.
- Compose correspondence, printed materials, and/or news releases related to program policies, procedures, and operations; edit materials for accuracy, appearance, readability, and style.
- Maintain central email account, providing responses or referrals to other staff as necessary.
- Maintain and update printed materials at the direction of supervisor or designee.
- Perform regular updates to CSSC and Student Conduct websites at the direction of supervisor or designee.
- Manage financial processes including pro-card reconciliation, office supply purchasing and management, reservations and reimbursement for travel.
Qualifications
- High school graduation or equivalent AND Two years of clerical experience.
- Demonstrated ability to handle confidential materials with discretion.
- Excellent organizational and project management skills, requiring great attention to detail.
- Outstanding oral and written communication skills.
- Success interpreting and communicating complex policies, procedures and agreements.
- Ability to work independently with general supervision.
