Responsibilities

  • Work with a group of specified lawyers and clients to expedite collection of the firm’s accounts receivable balances, ensuring receivables are realized as close to 100% as possible and collected in a timely manner.
  • Proactively address aged receivables with lawyers and suggest action plans to yield payment or other resolution.
  • Routinely communicate with Finance Management, Partners, and Billing to understand issues causing delays in payment or poor realization of firm receivables.
  • Coordinate the resolution of billing issues, particularly involving electronic billing reductions.
  • Utilize firm standard software to identify and prioritize accounts for follow-up and monitoring.
  • Work with the Cash Team and Billing Team to resolve unapplied/suspense cash items and identify where payments should be posted when remittance advice is missing or unclear.
  • Assist with preparation of monthly reports on top inventory items.
  • Respond to inquiries from clients, lawyers, and secretaries related to receivables levels and cash receipts.
  • Utilize firm standard reporting tools to report on issues related to receivables.
  • Coordinate write-offs of aged or otherwise uncollectible invoices.
  • Respond to audit requests.
  • Facilitate accuracy in cash targets/forecasts by communicating with Billing, Billing Lawyers, and financial managers about issues impacting collection of inventory, especially before December 31st.
  • Work on multiple special projects as needed.

Requirements

  • Minimum Associate’s degree in Business, Accounting, or Finance, or equivalent work experience; higher degree preferred.
  • Minimum two years of experience with professional services time and billing software such as Elite Enterprise, Aderant Billing Expert, or Elite 3E.
  • Minimum two years of experience with professional services inventory management software, such as ARCS from Minisoft or *Collect from Select Associates.
  • Minimum two years of experience in a professional services environment (legal, accounting, consulting, engineering, etc.) working in a Finance department collections role.
  • Demonstrated proficiency with Excel spreadsheets.
  • Excellent verbal, written, negotiation, and interpersonal skills.
  • Exemplary customer service orientation with a focus on process improvement.
  • Assertive, proactive, courteous, and professional demeanor.
  • Ability to prioritize, handle multiple tasks simultaneously, and remain flexible.
  • Keen eye for detail and ability to identify issues that may impede processes.
  • Strong initiative, analytical thought process, critical thinking, and ability to identify and communicate opportunities for process improvement.
  • Accuracy and timeliness in completing tasks, with thorough follow-through on assigned projects.
  • Ability to work in a team environment and collaborate across the firm.

Pay

The anticipated pay range for this role is listed below and represents the firm’s good faith and reasonable estimate of the starting salary range at the time of posting. In addition, this role is eligible for a discretionary bonus based on performance. The actual offered rate will be determined based on job-related, non-discriminatory factors, including qualifications, experience, geographic location, education, external market data, and consideration of internal equity.

  • Boston, Chicago, Los Angeles, Washington D.C.: $69,500 - $100,800
  • New York: $75,800 - $109,950
  • San Francisco: $79,100 - $114,700

Schedule

This position requires hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development, and effective collaboration with colleagues and management.
