About the role

This position provides clerical and secretarial support to department staff and managers, reporting to the department manager or director.

Responsibilities

  • Act as the initial contact and correspondence for all new applicants to Beaumont Health.
  • Receive applicants' requests for membership, enter applicant information into the Credentialing database to create a stub record, add required modifiers, analyze provider data, and identify appropriate privileges and applications to be sent.
  • Send relevant applications and privileges to applicants; work with hospital MSO to determine correct documents if needed.
  • Receive and assess applications for completeness, correspond with applicants to obtain missing documentation, assign to credentialing coordinators, and manage initial correspondence.
  • Monitor and manage the application queue to ensure equal distribution of workload; notify leadership of any workload imbalances.
  • Maintain and proactively update the provider demographics database on a weekly cadence.
  • Respond to IT provider EMR requests in a timely manner, review and enter requests into credentialing systems, and notify stakeholders to activate physician accounts.
  • Use computer software including Microsoft Office (Word, Excel, PowerPoint, Outlook), Cactus, Kronos, PeopleSoft, and Teams.
  • Manage department US Postal Service mail, email box, and voicemail; triage correspondence to the internal team and notify leadership of any concerns or complaints.
  • Monitor and maintain department supplies and par levels; own the purchasing process, including entry, review of quotes, and submission of payments.
  • Serve as system administrator for key applications outside of BH, including iChat, Credentialing Resource Center, and HC PRO.
  • Manage monthly application fees (20–40k), reconcile payments (physical checks and Cost Center transfers for employed applicants), and submit to finance.
  • Participate in all department initiatives.
  • Cross-train on basic Data Tech duties to ensure smooth operational function, including malpractice updates and Lara licensing changes/updates in the system.
  • Partner with the Onboarding team on employment status, site needs, contract completion, and log status into the Onboarding tracking system; provide applicant status updates to Onboarding and site inquiries.
  • Possess knowledge of the credentialing process and workflows to support credentialing coordinators and leadership.
  • Responsible for the Kronos process, including time variations, for the corporate credentialing department.
  • Provide project administrative support, compile correspondences for agendas, distribute meeting materials, take and distribute meeting minutes, and save department data on the S drive.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or equivalent.
  • Willingness to participate in credentialing webinars and learning opportunities.
  • 5 years of relevant experience, preferably in business or healthcare.

Preferred Qualifications

  • Professional courses in business or healthcare.
