Court Secretary I (NCS) - Circuit Court for Baltimore City
Job Summary
The Circuit Court for Baltimore City is seeking an experienced, energetic, and motivated Secretary with strong administrative, communication, interpersonal, organizational, and computer skills. The Secretary will be a team player, detail-oriented, and able to multitask, supporting the Associate Administrator of the Juvenile Division.
Essential Functions
- TYPES CORRESPONDENCE, REPORTS, AND OTHER DOCUMENTS AS REQUIRED.
- ORDERS SUPPLIES AND MATERIALS.
- CORPORATES ACTIVITIES WITH THE ADMINISTRATIVE OFFICE REGARDING ANY PERSONNEL-RELATED ISSUES.
- RECEIVES INCOMING CALLS AND ASSISTS COURT-RELATED AGENCIES, ATTORNEYS, AND THE GENERAL PUBLIC, AS NEEDED, REGARDING COURT POLICIES, PROCEDURES, AND OPERATIONS.
- SCHEDULES MEETINGS (VIA ZOOM OR TEAMS), PREPARES AGENDAS, AND RESERVES APPROPRIATE MEETING SPACE.
- ASSISTS IN A VARIETY OF DUTIES RELATED TO THE COURT CASE MANAGEMENT SYSTEM (E-QUEST), INCLUDING CREATING, MAINTAINING, AND MONITORING USER IDENTIFICATION PROFILES, PREPARING STATISTICAL REPORTS, AND TRAINING NEW USERS.
- ASSISTS WITH SPECIAL PROJECTS FOR THE ASSOCIATE ADMINISTRATOR, AS REQUIRED.
Minimum Qualifications
- Education: High school graduation, with four years of professionally responsible experience in legal secretarial, legal stenographic, or closely related fields.
- The candidate must also have the expertise that involves progressively responsible secretarial experience as an assistant to an individual dealing with law-related matters.
- Knowledge of the Maryland Electronic Courts (MDEC) system is desirable.
- Prefer a B.S. or B.A. degree in public or court administration from an accredited university or a paralegal degree from an accredited institution with three years of legal secretarial experience.
- Experience: Must work well independently and exercise discretion and individual judgment in complex situations.
- Must have excellent PC and typing skills utilizing the Microsoft Word suite of programs.
- Must possess a proficient knowledge of grammar and usage, spelling, punctuation, and vocabulary.
- Previous experience as an assistant to a person in a managerial position, with a minimum of 5 years of experience, is preferred.
Knowledge, Skills, And Abilities
- Ability to work the full-time standard Court work schedule of 8:00 am to 5:00 pm (Monday through Friday) with flexibility to accommodate any necessary early or late activities.
- Maintain a regular, punctual, and reliable level of attendance.
- Ability to set priorities, simultaneously process multiple tasks, and maintain a professional demeanor when interacting with court personnel and the public at all times.
- Ability to utilize the Odyssey Case Management System.
- Ability to make decisions based on established policies and procedures, experience, and good judgment.
- Ability to develop and maintain collaborative and professional working relationships with court personnel and the public.
- Ability to work independently and have a high level of interpersonal skills to handle sensitive and confidential situations.
- Excellent telephone manners and experience dealing with the public while maintaining a calm disposition.
- Knowledge of secretarial office administrative procedures and knowledge of standard office equipment use and operation.
Additional Information
Background Check Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening and must be successfully completed. Probation All persons, including current City employees, selected for this position must complete a 6-MONTH mandatory probation.
