Court Clerk- Criminal Division
About the role
The purpose of this job is to attend to the needs of the Court in the performance of the duties of the judiciary. Duties and responsibilities include, but are not limited to, assisting in the processing, filing, and data entry of real estate, civil, and criminal documents, receipting of cash transactions, giving assistance to the public, performing duties necessary to act as custodian of court records, and to perform such other duties as are or may be required by law or as necessarily appertain to the office of Clerk of Court.
Responsibilities
- Attends court as Officer of the Court; assists and coordinates matters for Superior and State Court judges.
- Congnients and assists in all jury/juror matters; coordinates the Board of Jury Commissioners, prepares and maintains jury lists for attendance, absences, excusals, payroll, and deferments; coordinates with judges' offices for dates and jury requirements; maintains and prepares jury box for picking jurors and mailing summons.
- Typing, filing, cancelling, indexing, processing, reviewing, and recording cash receivables for real estate documents, plats, liens, and lis pendens; preparing daily and monthly indexes for Grantor/Grantee Real Estate records, General Execution Docket, Plats, UCC, and Court Minutes.
- Filing, recording, indexing, and reproducing Notary Public Certificates, Grand Jury Presentments, Orders of the Court, State Bar Certificates, DD214 Certificates, Trade Name applications, Partnership Agreements, and all other related documents in the Court Minutes.
- Filing, recording, and preparing UCC filings for transmission to Superior Court Clerks Cooperative Authority for central indexing.
- Processing complaints, divorces, garnishments, name changes, adoptions, contempt citations, and annulments for the Court by receiving, filing, docketing, assigning, and recording cash receivables for all civil actions; preparing cases for court calendars; receiving and docketing monies for garnishments; preparing summons for civil actions; filing and docketing motions, orders, and various other instruments received daily for civil actions; preparing, copying and creating indexes for cases on appeal to Georgia Court of Appeals and Georgia Supreme Court; preparing daily and monthly indexes for Plaintiff/Defendant for State and Superior Court.
- Receiving, recording, filing, verifying, and docketing all proceedings and pleadings for Superior and State Court criminal cases; recording, verifying, and filing sentences; preparing and transmitting reports to Georgia Crime Information Center; preparing citations and other correspondence for the Department of Public Safety; conducting prior criminal record checks as required for court; preparing indictment list from True Bills issued by Grand Jury; preparing arraignment calendar from accusations filed by State Court Solicitor; filing and docketing motions, orders, and various instruments received daily for criminal actions; issuing Notice of Suspension of drivers license; preparing, copying and creating index for cases on appeal to Georgia Court of Appeals and Georgia Supreme Court; preparing daily and monthly Defendant index for State and Superior Court.
- Preparing documentation for civil and criminal action to be processed by the Sheriff's Office.
- Processing incoming and outgoing mail.
- Typing and mailing invoices for accounts receivables; maintaining and posting account records to ledger; balancing state and superior court ledgers and journals; receiving and depositing fees and fines into appropriate accounts; disbursing funds to proper agencies at month end and preparing accompanying reports; keeping records of monies paid into Court Registry for both State and Superior Court; preparing disbursement of funds per Order of the Court.
- Preparing reports for Finance Department at end of fiscal year; inputting general ledger data on financial system for Finance Department.
- Providing assistance to lawyers, law students, defendants, and the public; answering telephone and responding to requests for information; copying materials and searching information as requested.
- Keeping log of outgoing/incoming files from courtroom and judges' offices.
- Microfilming and/or scanning into court software all real estate related instruments, civil cases, criminal and Court Minutes; preparing microfilm for developing and sending copy to State Archives; indexing film rolls.
- Preparing outgoing correspondence for mailing and delivering to mail room daily.
- Reporting to Clerk of Court all matters related to real estate division, civil division, and criminal division.
- Receiving payments for fines and/or fees from public, posting to appropriate agency on accounting system as provided by law.
- Overseeing work performed by defendants sentenced to perform Community Service; law students, and participants of the Job Training Partnership Act program.
- Performing Other Duties As Required.
Requirements
- High school diploma or equivalent with one year of legal secretarial, clerical and customer service or related experience required; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position.
- May be required to work on religious holidays.
- Regular and predictable attendance is required.
- Must work cooperatively with others.
- When requirements include vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by ACC's safe driving policy.
Qualifications
- Knowledge of the state laws and guidelines, policies, courtroom procedures, and activities of the State and Superior Courts as they pertain to the performance of duties relating to the position of Court Clerk.
- Knowledge of the terminology used within the department.
- Knowledge of legal transcripts, indictments, motions, orders, etc. and procedures and methods as required in the performance of duties.
- Ability to compile, organize, prepare and maintain an assortment of records, reports and information in an effective manner and according to departmental and/or governmental regulations.
- Ability to communicate effectively with supervisors, other staff members, attorneys, and the public at large.
- Ability to use independent judgment in routine and non-routine situations.
- Ability to handle required calculations.
- Ability to utilize and understand computer applications and techniques as necessary in the completion of daily assignments.
- Ability to plan, organize and/or prioritize daily assignments and work activities.
- Ability to comprehend laws and apply regulations and procedures of the department.
- Ability to learn and comprehend various word processing and database programs utilized by the courts for purposes of information processing.
Skills
