Court Clerk
Job Summary
The Court Clerk performs all clerical and customer service duties related to the daily operation of the Municipal Court. The Court Clerk will ensure that the general public is provided with prompt and accurate information about the municipal court's services by furnishing facts and directing inquiries to the appropriate personnel for additional information and services. Responsible for generating, administering & filing all court records.
Essential Job Functions
- Process in-person, mailed, and electronic payments; post receivables in court software; maintain records and reconcile reports
- Provide customer service in person and by phone, answering general and case-related inquiries
- Schedule cases and maintain court dockets
- Prepare cases for court hearings and manage court docket materials
- Operate court software to enter, generate, and distribute court records and documents
- Record court proceedings and update official case records
- Serve as liaison between the Municipal Judge, City Prosecutor, Police Department, and other agencies
- Prepare notices to appear, subpoenas, and other court correspondence
- Research case information and assist defendants or representatives as needed
- Complete post-hearing processing, including entry of judgments, sentencing requirements, and required forms
- Prepare and transmit traffic citation reports, monthly state-required reports, and remittances
- Maintain accurate court files and records in compliance with applicable laws and procedures
- Assist with Municipal Court sessions, including docket preparation and courtroom support
- Assist with Utility Billing Department or other clerical duties as assigned
Minimum Qualifications
- A High School Diploma or GED
- Municipal Government Experience
- Two (2) years of administrative or office experience
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to obtain Notary Public Certification within three (3) months
- Bilingual (Spanish/English) is a plus
Preferred Qualifications
- Experience in municipal court or legal environment
- Strong attention to detail and accuracy
Physical Requirements
- Ability to remain seated for extended periods while performing office tasks
- Occasional lifting of office materials (up to 20 lbs)
- The ability to operate standard office equipment, including computers, copiers, and printers
- Some standing or walking may be required during meetings or events
