Corporate Workspace Manager

Job Responsibilities

  • Manage and direct the company facilities portfolio throughout the USA with emphasis placed on providing a welcome and engaging environment for all colleagues and guests.
  • Create and oversee the design and setup of spaces that support a collaborative work environment and align with ifm’s corporate design and culture.
  • Facilitate and manage the selection of new Sales Offices across the USA, including office search, space planning, fit out, and furnishings.
  • Provide leadership and direct facilities maintenance, vendor management, space planning, office reconfiguration, office refresh, and renovations, and move management.
  • Forecast, allocate, and supervise the financial and physical resources, including capital budgets.
  • Ensure that all facilities are well maintained whether under direct supervision or through external landlords/buildings owners.
  • Direct and manage all building services, maintenance, upkeep, refurbishment, and improvement of physical assets including routinely used replacement parts, and schedule building inspections.
  • Plan and schedule preventative maintenance, required safety and building inspections (Fire, Elevator, Sprinkler, HVAC, Security, etc.) with minimum disruption to business operations.
  • Ensure any necessary repairs are completed timely.
  • Develop strong relationships with property management at all locations. Primary point of contact for all landlords/building owners, facility vendors and trades.
  • Manage vendor relationships and maintenance contracts. Manage and confirm contractual requirements and ensure 100% execution and accuracy of service.
  • Ensure emergency preparedness and coordinate emergency services during an actual event.
  • Facilitate and manage security systems at corporate locations including badge management, access control, CCTV, and response to security/fire alarms.
  • Coordinate with HR to provide access badges for new employees and disable badges for terminated employees.
  • Responsible for building key management at all locations.
  • Travel to offices throughout the USA to establish and maintain face to face relationships and hands-on experience in day-to-day operations and functions. Travel ~ 25%

Qualifications

  • 8 years of professional experience in corporate workspace management.
  • Servant leadership mindset.
  • Broad understanding of facilities, construction, financial and vendor management.
  • Project management training and certification preferred.
  • Knowledge of building space allocation, layout, planning, and projects.
  • Self-motivated and proactive in maintaining exceptional building and facility standards.
  • Working knowledge of Microsoft Office Suite and MS Teams.
  • Positive attitude and interest in building relationships and providing consistent and reliable service to employees.
  • Aptitude to oversee and prioritize multiple projects simultaneously and meet time critical deadlines.
  • Ability to analyze emergency situations accurately and take prompt actions.
  • High energy; demonstrate integrity and commitment to quality of work.
