Core Responsibilities
- Lead the planning, coordination, and execution of corporate and property-level projects, including new and existing property launches, operational improvements, technology initiatives, and service enhancement programs.
- Ensure projects are properly scoped, assigned, tracked, and completed within established timelines while supporting BBM’s commitment to operational excellence and elevated resident experiences.
- Utilize Monday.com as the primary project management platform to create, organize, track, and maintain project timelines, milestones, responsibilities, priorities, and deliverables.
- Maintain accurate project status updates, identify potential delays, and proactively escalate risks or challenges that may impact completion.
- Support the launch of company management and services in newly built properties and existing properties across BBM’s portfolio.
- Coordinate with property teams, leadership, and external partners to ensure projects align with operational needs, resident expectations, and BBM standards.
- Identify opportunities to improve operational efficiency, enhance service delivery, and implement innovative solutions across BBM communities and corporate operations.
- Evaluate existing processes, recommend improvements, and support the implementation of new systems, workflows, and technologies that create better experiences for residents, employees, and stakeholders.
- Identify and lead technology-related projects, system improvements, troubleshooting efforts, and operational solutions in partnership with leadership, property teams and our IT provider.
- Aid in identifying technology needs, tracking resolutions, following up on open items, and ensuring technology initiatives are completed effectively to support business operations.
- Serve as the connection point between Corporate Leadership, Operations, Finance, People & Culture, vendors, and technology partners.
- Facilitate communication, align priorities, coordinate resources, and ensure teams remain accountable for project commitments.
- Establish clear deadlines, milestones, and ownership for projects while monitoring progress and ensuring timely completion.
- Proactively identify roadblocks, coordinate solutions, and drive projects forward by keeping stakeholders aligned and focused on results.
- Coordinate with external vendors, service providers, consultants, and partners to support project execution, renewals, upgrades, and operational improvements.
- Maintain strong relationships, monitor performance, and ensure deliverables meet BBM’s quality expectations.
- Take ownership of project challenges by identifying root causes, coordinating solutions, and following through until resolution.
- Bring a proactive mindset focused on preventing issues, improving workflows, and creating sustainable solutions.
- Prepare project updates, dashboards, summaries, and presentations for leadership, highlighting project progress, completed initiatives, upcoming milestones, risks, and recommendations.
- Maintain transparency and ensure leadership has visibility into key priorities.
- Support BBM’s continued growth by identifying opportunities to streamline operations, improve communication, enhance service delivery, and develop scalable processes that support a growing property management portfolio.
Qualifications
- 5–7 years of Project Management, leading projects in luxury residential, hospitality, commercial real estate, hotel or condohotel, or property management environments.
- Experience managing multiple concurrent projects.
- Background in hospitality, luxury residential, commercial real estate, construction, or property management preferred.
- Excellent organizational, planning, and time management skills.
- Proven ability to manage project budgets and timelines.
- Experience coordinating cross-functional teams.
- Strong negotiation and vendor management skills.
- Exceptional written and verbal communication abilities.
- Experience with Monday.com, Yardi, Google Workspace and Microsoft Office Suite and project management software (Microsoft Project, Monday.com, Asana, Smartsheet, or similar).
- PMP certification is a plus but not required.
