Job Summary
The Corporate Payroll Administrator is responsible for supporting payroll operations for a multi-property hotel management company. This role ensures the accurate and timely processing of payroll across multiple states, maintaining compliance with federal, state, and local payroll regulations. The Payroll Administrator works closely with property-level management, Human Resources, and Accounting to ensure payroll accuracy and resolve payroll-related inquiries.
Job Duties And Responsibilities
- Aid in processing payroll for hourly and salaried employees across multiple hotel properties and corporate entities.
- Review and audit payroll data including hours worked, pay adjustments, deductions, and bonuses.
- Ensure payroll is processed accurately and in accordance with company policies and payroll schedules.
- Verify payroll reports and reconcile discrepancies prior to final payroll submission.
- Administer payroll using Workday and ADP payroll systems.
- Maintain employee payroll records within payroll and HR systems.
- Assist with system updates, testing, and payroll system improvements when necessary.
- Support payroll-related reporting and data requests from management.
- Aid in multi-state payroll compliance.
- Process payroll for employees located across multiple states.
- Ensure proper state and local tax withholdings are applied based on employee work locations.
- Support payroll tax compliance in accordance with federal, state, and local regulations.
- Maintain knowledge of multi-state payroll tax requirements and reciprocity agreements.
- Aid in year-end payroll activities, including preparation and distribution of W-2 forms.
- Review payroll data to ensure accuracy of wages, taxes, and deductions prior to year-end reporting.
- Assist in resolving payroll tax notices or discrepancies when they arise.
- Respond to payroll inquiries from employees and managers in a timely and professional manner.
- Provide support regarding paycheck questions, tax withholdings, deductions, and payroll policies.
- Aid in onboarding payroll setup for new employees and payroll updates for existing employees.
- Maintain payroll records in accordance with company policies and regulatory requirements.
- Ensure confidentiality and security of employee payroll information.
- Support payroll audits and internal reviews when required.
Minimum Requirements
- A high school diploma or equivalent required; an associate’s or bachelor’s degree in Accounting, Finance, Human Resources, or related field preferred.
- Minimum 2–4 years of payroll processing experience required.
- Experience processing multi-state payroll strongly preferred.
- Experience using ADP and/or Workday payroll systems required.
- Knowledge of federal, state, and local payroll tax regulations.
- Experience assisting with W-2 preparation and year-end payroll processing.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Excel and payroll reporting tools.
- Ability to manage multiple priorities and meet payroll deadlines.
- Strong communication and problem-solving skills.
Preferred
- Experience in hospitality or multi-location payroll.
- Experience supporting payroll for hourly employees, tipped employees, and multiple pay schedules.
- Experience working in a multi-entity or management company environment.
