Position Summary
The Office Administrator is responsible for supporting daily corporate office operations and providing administrative and facility-related services across all store locations. This role ensures the office environment is well-maintained, supports accurate information flow between corporate and store sites, assists with recruiting activities for store positions, and HR/office projects as required.
Primary Responsibilities
- Provide administrative support to the corporate office, including coordination of company events and general office operations.
- Manage correspondence and maintain accurate, updated information for store locations (e.g., emergency contact lists, company policies).
- Audit designated paperwork for all sites to ensure accuracy and compliance – (SPA Store Paperwork Audit tasks).
- Track weekly lottery ticket shipment confirmations with CA Lottery and store locations.
- Verify daily EBT transactions and enter logs to reconcile with PDI internal system.
- Maintain a clean, organized, and professional office environment for employees and visitors.
- Submit and track facilities repair requests as needed.
- Perform shipping and receiving duties, inventory counts, and related recordkeeping.
- Support store recruiting efforts, including screening applications, scheduling interviews, coordinating candidate communication, assisting with applicant tracking, and other required tasks.
- Support other miscellaneous HR to Field support activities, to include but not limited to, New Hire Administration support.
- Perform additional duties as assigned in accordance with business needs.
Qualification Requirements
- High School Diploma or GED required. Bachelor's degree a plus.
- Ability to multitask, prioritize responsibilities, adapt to changing needs, and work effectively under pressure.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and strong data entry skills.
- Ability to perform approximately 70% administrative work and 30% physical tasks (cleaning, maintenance support, shipping/receiving).
- Strong verbal, written, and email communication skills.
- High attention to detail and a proactive, self-starter approach.
- Ability to lift, push, and pull up to 40 pounds using available tools; assistance provided for items exceeding 40 pounds.
- Ability to climb ladders as needed and perform tasks requiring standing or walking for extended periods.
- Good attendance record for this key position.
