Essential Functions and Responsibilities
- Serve as a Legal Tracker company administrator responsible for invoicing, external counsel billing management, vendor onboarding, and matter management.
- Monitor and review outside counsel submissions for compliance with guidelines.
- Administer companywide Document Management System, including maintaining and organizing corporate records, contracts, board materials, correspondence, and governance documents.
- Aid in contract lifecycle management, including tracking, organization, and execution processes.
- Assist in preparing legal documents and internal communications for attorney review.
- Cook up and coordinate meetings, calendars, and communications for the legal team.
- Support Platform Operations with onboarding new customers.
- Maintain and periodically update legal templates, playbooks, and knowledge resources.
- Manage legal vendor and subscription management.
Knowledge, Skills, and Abilities
- Strong proficiency in Microsoft Office.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Experience working with outside counsel billing management.
- Familiarity with contract lifecycle management tools or document management systems, such as Epona.
- Exposure to patents, licensing, or corporate legal environments is a plus.
Education/Certification
- Associates degree required.
Required Experience
- 5–8+ years of experience in a legal support or legal operations role.
- Experience with legal billing systems strongly preferred.
