Corporate Executive Assistant
Position Summary
The Executive Assistant will provide confidential high-level administrative, operational, and strategic support to several senior leaders across various departments (HR, Legal, Commercial) in our corporate headquarters. Key responsibilities include complex, multi-executive calendar management, international travel coordination, high-volume inbox management, handling mail correspondence, acting as a central liaison to stakeholders, supporting Board-related matters, and assisting with event coordination. This role will also serve as a back-up to the Executive Assistant to our CEO and CFO, including as a backup to the corporate paralegal regarding compliance trainings.
Essential Functions
- Manage complex, competing calendars for multiple senior leaders, resolving conflicts and prioritizing meetings based on business impact.
- Serve as the primary point of contact, screening calls, triaging inboxes, and drafting correspondence on behalf of leaders.
- Cook up complex domestic and international travel, including detailed itineraries, flights, accommodation, and ground transportation.
- Create, edit, and proofread presentations, reports, and spreadsheets using MS Office/G-Suite.
- Aid with Board-related matters, as needed.
- Aid with administration/management of compliance trainings, as needed.
- Plan team onsite and offsites, board meetings, and special projects.
- Process expense reports, invoices, and manage office supplies or operations.
- Use independent judgment and initiative to respond to, prepare, and direct correspondence to internal/external parties.
- Participate in special projects as determined by functional leaders in HR, Legal and other departments.
- Follow and enforce all safety policies and procedures including use of safety equipment (PPE) and equipment safeguards; Work to advance and promote the safety culture of the site.
Requirements
- Demonstrates sensitivity and discretion regarding confidential information
- Bachelor’s degree desired, plus 7-10 years executive level administration experience
- Use considerable judgment and discretion in completing work assignments
- Ability to set priorities and handle multiple situations and projects
- Self-directed and motivated; tactful, reliable, flexible and organized
- Excellent interpersonal skills with strong customer service orientation
- Excellent writing skills, including the ability to edit and proofread with precision
Position Requires
- Extensive computer research and analytical skills, including on-line research techniques
- Complete understanding and advanced skill level of various computer software packages (Microsoft, PowerPoint, Excel, etc.)
- Strong attention to detail
- Ability to learn/understand business of the company to direct inquires to appropriate parties
- Professional telephone skills to deal with very senior executives of other companies
- Professionalism, integrity and sound judgment
Working Conditions
- Work is mostly sedentary
- Light lifting and moving of items may be required
Pay
The salary range for this position is between $90,000 - $115,000, depending upon experience.
