About the role
The Corporate Compliance Coordinator supports and coordinates corporate and regulatory compliance activities across applicable federal, state, and local jurisdictions. Key responsibilities include managing licenses, permits, and regulatory filings; maintaining compliance documentation; and monitoring regulatory developments.
Responsibilities
- Licenses, Permits & Regulatory Renewals
- Coordinate applications, renewals, amendments, and maintenance of applicable federal, state, and local licenses and permits.
- Maintain a centralized inventory of licenses, permits, registrations, certificates, and regulatory approvals.
- Track expiration dates, renewal requirements, filing deadlines, fees, and required supporting documentation.
- Prepare routine applications, renewal packages, and supporting documentation for management review.
- Carefully follow up with regulatory agencies regarding pending applications, renewals, deficiencies, and requests for additional information.
- Maintain current copies of licenses, permits, and approvals in an organized and readily accessible manner.
- Brand & Product Registration
- Coordinate state-specific brand and product registration requirements.
- Prepare and submit registration and renewal documentation as required.
- Maintain a state-by-state Brand Registration Tracker.
- Monitor expiration and renewal requirements.
- Maintain supporting product, supplier, distributor, and regulatory documentation.
- Track pending registrations, approvals, deficiencies, and additional information requests.
- Carefully coordinate with Sales, Purchasing, Marketing, Accounting, and other departments to obtain required information.
- Regulatory Filings
- Carefully coordinate required regulatory filings and maintain filing schedules.
- Prepare required information and supporting documentation.
- Track submissions, confirmations, approvals, amendments, corrections, and outstanding filings.
- Maintain records demonstrating timely completion of required postings and filings.
- Carefully follow up with responsible departments regarding information necessary for timely submission.
- Regulatory Monitoring, Research & Compliance Tracking
- Carefully monitor applicable federal, state, and local regulatory developments affecting assigned Our Client operations.
- Research new and changing regulatory requirements under management direction.
- Maintain a Regulatory Change Log identifying potentially applicable requirements, jurisdictions, effective dates, required actions, responsible departments, and implementation status.
- Prepare summaries of relevant regulatory developments for management review.
- Identify regulatory deadlines and communicate applicable requirements to responsible departments.
- Carefully coordinate implementation and documentation after management determines the appropriate response.
- Escalate matters involving legal interpretation, significant regulatory exposure, potential violations, or substantial operational impact to the HR and Administration Manager.
- New State / New Market Compliance Support
- Regulatory research when Our Client plans to conduct business, distribute products, establish operations, or introduce regulated products in a new jurisdiction.
- Identify potential licensing, permitting, registration, brand-registration, pricing, filing, reporting, and bonding requirements.
- Prepare jurisdiction-specific compliance checklists for management review.
- Carefully coordinate required applications and supporting documentation once requirements have been confirmed.
- Track requirements through completion.
- Maintain records of regulatory approvals and ongoing requirements for future renewals and reporting.
- Education: Bachelor's degree in Business Administration, Compliance, Legal Studies, Regulatory Affairs, Finance, Human Resources, Public Administration, or a related field preferred. An equivalent combination of education and relevant professional experience may be considered.
- Experience: 2-4 years of experience in corporate compliance, regulatory compliance, licensing/permits, regulatory affairs, legal administration, paralegal/legal assistant work, or a similarly regulated business environment. Experience with multi-state regulatory requirements, government agencies, licensing, filings, or food/beverage distribution is preferred.
- Knowledge, Skills & Abilities: Strong organizational and document-management skills. High level of accuracy and attention to detail. Ability to manage multiple regulatory deadlines and competing priorities. Strong follow-up and project-coordination skills. Ability to conduct regulatory research and summarize information clearly. Ability to maintain confidential and sensitive business information. Strong written and verbal communication skills. Ability to communicate professionally with regulatory agencies and internal stakeholders. Ability to work independently while recognizing matters requiring escalation. Strong Microsoft Excel, Word, Outlook, and general business-technology skills. Ability to develop and maintain calendars, matrices, trackers, reports, and compliance documentation. Strong analytical and problem-solving abilities. Ability to work collaboratively across multiple departments and organizational levels.
