Copy Clerk, Part-Time
About the role
Under the direction of the Release of Information (ROI) Legal Supervisor, the individual will ensure all Release of Information requests are reproduced and mailed out timely. The role involves copying portions of the medical record, performing quality assurance checks prior to disclosure, and adhering to Mass General Brigham policies, federal and state laws, HITECH, and HIPAA regulatory guidelines.
Responsibilities
- Leverage Electronic Health Record systems to validate and process information, including patient identifiers, mailing addresses, authorizations, and commenting functionality.
- Utilize Pitney Bowes Web Service and postage machine to prepare delivery packages of medical records.
- Perform final quality assurance checks on medical record documentation prior to mailing.
- Ensure copies of medical records are mailed in accordance with department turnaround times.
- Open, sort, and redistribute all incoming Release of Information mail and/or fax (USPS, UPS, FedEx, and courier services).
- Engage with other Mass General Brigham departments to ensure proper and timely delivery of non-ROI requests (e.g., Billing, Centralized Record Control Center, Deficiency Tracking, Radiology, Pathology, Cardiology).
- Mail return request letters for non-Mass General Brigham entities.
- Copy paper charts if required and print medical records from system applications.
- Accept deliveries for Release of Information requests and supplies.
- Utilize RICOH multi-functional device to scan, copy, and fax information.
- Provide exceptional customer service to patients and/or servers that may present onsite.
- Leverage ROI Resource tools daily, including the ROI Resource Page and SFA’s.
- Meet performance measures and expectations.
- Perform other duties and responsibilities as assigned by supervisor or manager.
Requirements
- Associate degree or high school diploma or equivalent required.
- 1-2 years of related experience with Health Information Management operations.
- Understanding of the components of a medical record, including how a record is maintained, organized, and retrieved in both paper and electronic formats.
- General knowledge of HIPAA privacy and security rules.
- Knowledge of state and federal rules and regulations related to the disclosure of protected health information preferred.
- Experience working with Epic clinical applications preferred.
Schedule
Monday, Tuesday, Thursday, and Friday (Wednesday off). Hours: 8:00 AM - 4:30 PM EST.
Scheduled weekly hours: 32. On-site location: 121 Inner Belt Road, Somerville, MA 02143.
Pay
Pay range: $17.71 - $25.28 per hour (Grade 2).
At Mass General Brigham, base pay is determined by skills, relevant experience, education, certifications, and other essential factors. The provided range is based on minimum job qualifications and does not encompass all elements of total compensation.
