About the role

The Copier Analyst oversees, analyzes, and optimizes the performance of a client’s copier and multifunction device (MFD) fleet. This role involves monitoring usage patterns, supporting end-users, ensuring cost efficiency, and coordinating with Xerox service teams to deliver reliable document solutions. The Copier Analyst acts as the key liaison between the customer, Xerox, and technical service teams to maximize uptime and efficiency. This role is onsite at PDS, a Proven IT company.

Responsibilities

  • Device/Fleet Deployment & Management
    • Track deliveries, receive equipment, assemble equipment, and manage deliveries and removal of equipment.
    • Maintain equipment inventory and supply inventory at the Grand Junction location.
    • Monitor copier/MFD fleet performance through Xerox reporting tools and dashboards.
    • Track utilization, print/copy/scan volumes, and identify under- or over-used devices.
    • Coordinate device moves, additions, and changes to align with organizational needs.
  • Data Analysis & Reporting
    • Generate monthly/quarterly reports on fleet performance, uptime, and cost savings.
    • Analyze trends in paper usage, toner consumption, and service calls.
    • Provide recommendations to optimize fleet deployment and reduce costs.
  • End-User Support
    • Serve as the first point of contact for copier-related issues (paper jams, toner, connectivity).
    • Train users on proper use of Xerox equipment, scanning workflows, and print management software.
    • Escalate complex issues to Xerox technical support or field engineers as needed.
  • Supplies & Maintenance Coordination
    • Monitor toner and supply levels, ensuring timely replenishment.
    • Track and schedule preventative maintenance and service calls.
    • Ensure compliance with service-level agreements (SLAs).
  • Process Improvement
    • Recommend workflow automation opportunities (e.g., secure printing, scan-to-email).
    • Support sustainability initiatives by promoting duplex printing and reducing paper waste.
    • Collaborate with IT to integrate devices with network print solutions.

Requirements

  • Labor: Ability to lift small desktop copiers and move larger wheeled equipment.
  • Driving: Enjoy wheel time; larger territory requiring a few hours of drive time covering western Colorado and mountain corridor.
  • Technical Knowledge: Familiarity with Xerox copiers, MFDs, and print management tools.
  • Analytical Skills: Ability to analyze usage data, cost trends, and provide actionable insights.
  • Customer Service Orientation: Strong communication and problem-solving skills to support end users.
  • IT/Network Understanding: Basic knowledge of networking, drivers, and printer configurations.
  • Organizational Skills: Capable of managing multiple devices and service tickets across sites.

Qualifications

  • Experience in managed print services (MPS), copier fleet management, or IT helpdesk (training will be provided).
  • Knowledge of Xerox tools such as Xerox Device Agent (XDA), Xerox Workplace Suite, or similar software.
  • Previous experience in corporate facilities, IT support, or vendor service coordination.

Performance Metrics (KPIs)

  • Installation of equipment metrics (length and duration).
  • Fleet uptime percentage.
  • Reduction in service incidents per month.
  • Toner replenishment accuracy and timeliness.
  • Cost savings achieved through optimization.
  • End-user satisfaction ratings.

Benefits

  • Group Health Insurance: After a 30-day waiting period, full-time employees (who work at least 30 hours per week) and their dependents are eligible to enroll in health benefits utilizing the Cigna network.   • Employer Provided Life/AD&D Insurance: After a 30-day waiting period, Proven IT provides a flat $25,000 Life Insurance benefit to all full-time employees (30+ hours/week). Accidental Death & Dismemberment (AD&D) benefit payments are determined based on the type of loss incurred and are payable up to the full Life Insurance benefit amount. Coverage amounts are reduced at ages 65, 70, and 75.
  • Employer Provided Long-Term Disability (LTD): LTD insurance provides protection from loss of income in the event an employee is unable to work due to illness, injury, or accident for a long period. The elimination period is 90 days, and the maximum benefit is 60% of covered payroll up to $6,000/month. This benefit is paid entirely by Proven IT and has no cost to the employee.
  • Employee Assistance Program: All employees may utilize Disability Resource Services through BlueCross BlueShield of Illinois to assist with emotional, legal, and financial issues. Telephonic counseling, web-based services, and a limited number of face-to-face sessions are available.
  • 401K Plan: All employees are eligible after 120 days of service to contribute on either a pre-tax or post-tax (Roth) basis. Proven offers an employer match equal to 100% of the first 3% of deferrals plus 50% of the next 2% of deferrals.
  • Financial Advisory Services: Proven IT partners with Merrill Lynch to offer financial advisement to all employees at no cost for 401k and retirement questions.
  • Paid Time Off Policy: Competitive paid time off policy for all full-time regular employees after a 90-day waiting period.
