About the role
The Administrative Assistant supports the Manager of Business Operations for the Family Medicine Residency Program. Key responsibilities include managing resident schedules, coordinating licensing processes, maintaining records, and facilitating various programs.
Responsibilities
- Coordinates resident rotation schedules and manages record keeping processes.
- Facilitates licensing of Family Medicine Residents and communicates with the State Board of Medicine.
- Maintains residency program records, including lecture attendance, CME, PTO, and education requirements.
- Supports accreditation body reviews and utilizes New Innovations Residency Software System.
- Generates resident contracts, distributes evaluations, and facilitates interviews.
- Operates ERAS, coordinates interviews, and assists with orientation.
- Processes vacation and CME requests, prepares check requisitions, and coordinates graduation activities.
- Coordinates Children’s Hospital rotations, distributes and collects credentialing papers, and maintains address data.
- Constructs and distributes resident and faculty award ballots.
- Assists with other projects and tasks as assigned.
Requirements
- High School Diploma, GED, or higher level of education.
- Minimum one (1) year secretarial experience at an administrative or executive level.
- Strong leadership, organizational, and communication skills.
- Functional skills on PC and related software (Microsoft Office).
- Knowledge of basic office equipment and proficiency in Microsoft Office including Outlook.

Schedule
Incumbent will be scheduled based on operational need (rotate shifts, standby, on-call, etc.). Travel may be expected locally between System locations.
