About the role

As the Logistics Coordinator for IBB Fest, you are responsible for the entire practical organization of the festival. You ensure everything runs smoothly, from setup to breakdown, including all logistics in between. IBB Fest is a one-day cultural festival by and for the residents of the Ina Boudier-Bakkerlaan student complex in Utrecht, taking place next year on Saturday, September 6, from 15:00 to 23:00. The festival is free to attend and features live music, theater, dance, visual arts, and more from local, young, and diverse talent. Everyone is welcome to enjoy the festival’s bars, food trucks, and summer atmosphere.

The festival is organized entirely by enthusiastic volunteers. This role carries significant responsibility and offers a crucial contribution to the festival’s success.

Responsibilities

• Coordinate the setup and breakdown of the festival site.
• Procure, rent, and transport all necessary materials such as fencing, portable toilets, generators, tents, and more.
• Liaise with suppliers and the team to ensure smooth logistical processes.
• Act as a problem-solver during the festival to address any logistical challenges.

Requirements

• Strong organizational skills and the ability to plan effectively to ensure everything is ready on time.
• Stress-resistant and flexible, with the ability to handle unexpected changes and remain calm under pressure.
• Practical and solution-oriented, able to think quickly and adapt when problems arise.
• Flexibility to work in a dynamic festival environment and respond to unforeseen changes.
• Affinity for culture and events, with a motivation to contribute to a successful festival experience.
• Experience in event organization, project-based work, or logistics is a plus but not required. IBB Fest offers plenty of room to learn and grow.
• Resident of Utrecht (living in the Ina Boudier-Bakkerlaan student complex is not required). Availability to attend in-person meetings on Wednesday evenings is expected.
