About the role

NBCU’s Filmmaker & Content Strategies team is seeking a Coordinator to support the Executive Vice President. This team partners with filmmakers, producers, and development executives to build an inclusive pool of breakout talent and support authentic storytelling across Universal Pictures, Focus Features, and DreamWorks Animation.

In this role, you will act as a seamless extension of the EVP, ensuring the department’s vision is executed at the highest standards. The position requires attention to detail, strong organizational skills, and the ability to meet tight deadlines while managing multiple critical requests across global operations. The ideal candidate is detail-oriented, proactive, and able to anticipate needs while maintaining flexibility and composure. High integrity and discretion in handling confidential information, as well as professionalism in dealing with senior executives, are critical.

Responsibilities

  • General Administrative: Track delivery and completion of action items for the Executive Vice President; prepare and process expense reports and invoices; take and disseminate meeting notes; maintain digital and paper files; stock team office supplies.
  • Calendar Maintenance: Manage a logistics-heavy, complex schedule (including travel) and coordinate a high volume of meetings with internal and external stakeholders. Research and compile preparation materials ahead of scheduled meetings.
  • Executive Prep: Coordinate logistics and necessary prep materials for internal and external meetings, panels, and/or media interviews.
  • Travel Coordination: Book domestic and international travel, secure cars, accommodations, event panels, meetings, and reservations; build detailed travel itineraries.
  • Presentation Design: Develop and design PowerPoint meeting presentations and Canva elements.
  • Event Execution: Organize timelines, logistics, and prep for team activities and industry events such as offsites, panels, and screenings.
  • Project Coordination: Support the coordination and execution of above-the-line talent initiatives; contribute content and design elements to the Trend Breakers e-resource; support external partnerships (e.g., AFI, Sundance).
  • Content Support: Review scripts, cuts, marketing materials, and casting breakdowns.

Requirements

  • 3+ years of experience assisting at the executive level or equivalent.
  • Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, SharePoint, Excel, OneNote), Canva, and FileMaker.

Desired Characteristics

  • Ability to anticipate needs and problem-solve.
  • Strong time and project management skills.
  • Basic understanding of the film development process.
  • Knowledge of industry literary and talent agencies and management companies.
  • Familiarity with emerging talent and trends from social media platforms and influencers.

Schedule

Hybrid: This position requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.

Pay

Salary range: $57,928 - $66,456.
