Job Mission:

We’re seeking passionate individuals to help grow our Haircare division while upholding our core values of beauty, ethics, and sustainability. As our Client Relations Coordinator, you will be our clients’ first contact when they have questions regarding their orders, help maintain inventory & backorders, coordinate, and resolve issues between our warehouse and clients.

About the Role

  • Order Processing: Follow all items on the checklist to ensure timely and accurate shipping of B2B client purchase orders.
  • Customer Communication: Respond to customer requests for purchase orders, order changes, adjustments, and cancellations directly from customers.
  • Inventory Management: Help manage inventory and backorders and escalate expedite requests to our warehouse team.
  • Order Follow-Up: Perform daily follow-up on orders in progress, confirm orders, delivery lead times, and delivery updates or changes.
  • Issue Resolution: Coordinate with clients to resolve any issues, investigate and credit or invoice shortages, overages, and damages.
  • Client Relationships: Build and maintain relationships with our network of distributors and key direct accounts by assisting with inquiries and offering realistic solutions to challenges.
  • Brand Protection: Regularly monitor unauthorized outlets of our product, purchasing and tracking diverted product, and report to management.
  • Allowance Management: Support on data verification of Distributor Allowance funds, ensuring accuracy and attention to detail.
  • Salon Partnerships: Process quarterly rewards program orders, assist in resolving complications, and compile and adjust point balances quarterly.
  • Document Procedures: Document department procedures and participate in department meetings to help identify areas of improvement and carry out actions to implement changes.
  • Tracker Maintenance: Update and maintain various trackers and other key spreadsheets.

Requirements

  • Bachelor's Degree
  • One year of experience in a Customer Service or related field preferred
  • Working experience with Microsoft Office Suite, specifically Excel
  • Excellent oral and written communication skills for correspondence with all stakeholders
  • Strong problem-solving and organization skills
  • Strong attention to detail
  • Any familiarity with the Italian language is considered a plus

Benefits

At Davines Group, we offer a competitive salary range of $50,000 - $57,500 annually, commensurate with experience. We also provide a supportive and inspiring environment where we grow together, and a commitment to sustainability and ethical practices.

The annual salary for this position is in the range of $50,000 - $57,500, which will depend on your skills, qualifications, experience, and location.

Schedule

This role offers a flexible schedule with 70% in-office and 30% remote work.
