About the role
We are seeking a highly organized and proactive Coordinator for the Client Relations & Events Team to support in the planning, coordination, and executive of client engagement initiatives and events. This role plays a vital part in ensuring exceptional client experience while contributing to the relationship-building efforts and success of the Paramount Advertising team.
Responsibilities
- Assist in the planning, organization, and execution of in-person and virtual client events such as meetings, receptions, dinners and client trips.
- Coordinate logistics including securing venue, catering, travel, invitations, RSVP tracking, registration and guest communication.
- Collaborate with internal departments, vendors, and event partners to ensure seamless execution.
- Act as a key point of contact for client communications, ensuring timely and professional responses.
- Attend events as needed to provide onsite support, troubleshoot issues, and ensure a high-quality client experience. There may be opportunities to travel for events, but this will vary based on need.
- Maintain project timelines, checklists, budgets, and calendars related to events and client outreach.
- Ticket tracking – organize and maintain ticket request and access for various events.
- Research venues and organize library of options in major ad sales markets.
- Maintenance and organization of client premium closet.
- Support post-event process including invoice reconciliation and budget tracking.
Basic Qualifications
- Bachelor's degree in communications, event management, business, marketing or a related field.
- 1+ years of experience in client relations, event planning, or a coordination role. (Strong internship experience considered)
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities, with high attention to detail.
- Proficiency in Microsoft Office Suite; experience with CRM tools and event platforms is a plus.
- Ability to manage multiple projects and deadlines simultaneously.
- Flexibility to work evenings, weekends or holidays during events.

Pay & Benefits
- Hiring Salary Range: $56,000.00 - 62,000.00 (applies to New York City, California, Colorado, Washington state, and most other geographies; starting pay depends on geographic location, market demands, experience, training, and education).
