About the role

We are looking for a Contracts Administrator to support grant and contract operations for a mission-driven organization in Austin, Texas. This contract opportunity offers a hybrid schedule with time split between remote work and the office two to three days each week.

Responsibilities

  • Coordinate the full grant application and contracting workflow with the contract administration team, partnering with internal departments and local centers to keep submissions complete and on schedule.
  • Evaluate local center applications against yearly membership standards and provide responsive guidance throughout the application and contracting cycle.
  • Contribute to annual risk reviews and help build monitoring plans that align oversight efforts with identified areas of concern.
  • Perform contract compliance activities by examining insurance records, audit reports, reimbursement support, and selected documentation to confirm adherence to funding requirements.
  • Review and process a portfolio of reimbursement requests, verifying cost allowability, documentation accuracy, and compliance with contract terms while resolving questions from local centers.
  • Train new staff members responsible for reimbursement preparation on required procedures, documentation standards, and submission expectations.
  • Assess and process budget revision requests to ensure proposed changes meet grant rules and contractual obligations.
  • Work alongside contract specialists to recover unallowable expenses and clearly communicate follow-up steps and requirements to local centers.
  • Assist with updating policies, procedures, guidance materials, and grant management tools to improve departmental operations and strengthen resources for partner organizations.

Requirements

  • Bachelor’s degree from an accredited college or university; additional approved formal education may be considered in lieu of required experience when applicable.
  • At least two years of experience in grant administration, contract administration, finance, or a closely related area.
  • Working knowledge of contract administration principles, reimbursement review, and compliance documentation.
  • Ability to manage multiple deadlines while maintaining a high level of accuracy and attention to detail.
  • Strong communication and customer support skills, with the ability to work effectively with internal teams and external partners.
  • Experience reviewing financial, audit, or supporting documentation to ensure adherence to contractual or grant requirements.
  • Proficiency in contract management practices, including budget amendments, cost review, and issue resolution.
  • Adaptability, sound time-management skills, and a careful approach in a fast-moving environment.
