Responsibilities
- Prepare contracts, amendments, and related documentation using standardized templates and forms
- Enter, maintain, and update contract data within a contract management system
- Routinely route contracts and amendments for approval and execution
- Ensure compliance with contract terms, company policies, and regulatory requirements
- Maintain contract files and records in accordance with audit and retention requirements
- Follow SOX procedures and maintain documentation for audit purposes
- Research and respond to internal and external contract-related inquiries
- Absorb outstanding accounts receivable items
- Review and reconcile invoices prior to final processing
- Support contract administration activities for pipeline or industrial contracts depending on team assignment
- Absorb data reporting, documentation management, and process improvements
Qualifications
- Required: Bachelor's degree or equivalent experience
- Previous experience in contract administration, contract coordination, legal support, or a related field
- Experience reviewing, processing, or maintaining contracts and legal documents
- Strong data entry and documentation management skills
- Excellent attention to detail and organizational abilities
- Ability to work in a structured, compliance-driven environment
- Reliable attendance and ability to work onsite five days per week
- Strong written and verbal communication skills
Preferred
- Experience working with contract management systems such as Aligne or similar platforms
- Experience in regulated industries such as utilities, energy, manufacturing, healthcare, financial services, or government
- Exposure to compliance, audit, SOX, or regulatory requirements
- Accounts receivable or invoice reconciliation experience
Schedule
Fully onsite
Monday-Friday
40 hours per week
Flexible schedule between 7:00 AM and 6:00 PM
Typical hours are 8:00 AM to 5:00 PM
