Operating independently, the Contracting Operations Analyst performs a key role in the ongoing advancement of the health system's contracting processes, focused on negotiating and executing contracts which maximize financial return and legal protection. This position supports the development of contracting processes through the design and implementation of contract lifecycle management (CLM) system solutions and reporting to enhance collaboration between Contracting, Spend Management's Category Management team, Health Information Technology Services (HITS), and internal customers.
Responsibilities
- Serve as the health system’s CLM administrator:
- Perform CLM application training for new hires and focused training for the full team when enhancements are made.
- Serve as the first point of contact for user questions and troubleshooting system issues.
- Configure and manage workflows and terms and conditions playbooks.
- Perform CLM system account management functions, including user roles, permissions, and integrations.
- Reinforce consistency with health system contracting processes:
- Ensure department work processes and training materials, including those for the CLM system, are comprehensive and up to date.
- Perform monthly database audits and provide feedback to analysts to reduce or eliminate recurring errors.
- Design and execute custom and standard contract reporting for the Contracting Department and internal customers to support transparency.
- Provide coverage for the Contract Quality Assurance Manager during periodic days off.
- Support end-to-end contract management processes:
- Manage the contract execution process using DocuSign or similar software, update the CLM system, and archive executed documents.
- Notify department leadership and contract owners of contracts pending expiration, renewal dates, or deadlines at least 60 days in advance.
- Manage internal departments’ requests for historic contract data and executed documents.
- Oversee CLM application management and archiving of specific contract types, such as Managed Care and EpicCare Link Agreements.
- Serve as the Contracting Department’s project lead for CLM system enhancements and new contracting software adoptions, including design, documentation, workflow redesign, testing, and troubleshooting.
- Manage overall contracting project management for medical administrative services agreements:
- Maintain a detailed spreadsheet of current and recently terminated directorships.
- Prepare exhibits for newly appointed directorships, update the CLM system, archive exhibits, and distribute them to involved parties.
- Perform biennial updates to the Administrative Compensation Tool and prepare replacement exhibits for most physicians using mail merge.
- Consult with the Director as needed for unusual or complex compensation situations.
- Serve as the Contracting Department’s project manager for process and data integration for new health system acquisitions.
- Manage the annual Joint Commission contract evaluation process, including reporting for health system leaders’ required evaluations of specific vendors’ performance.
Requirements
- Bachelor’s Degree from an accredited college or university.
- 1 or more years of experience managing comprehensive datasets using database or other software applications.
- 1 or more years of experience managing process improvement initiatives, including development and documentation.
Preferred Qualifications
- Master’s Degree from an accredited college or university.
- Experience with contract lifecycle management software.
- Experience working with contracts.
- Experience working for a healthcare organization.
