About the role

This role will be responsible for overseeing the administrative aspects of our service operations and managing client contracts. You will work closely with our field technicians, sales team, and clients to coordinate service requests, maintain accurate records, and ensure compliance with contractual obligations. This role requires excellent organizational skills, attention to detail, and a customer-centric mindset.

Responsibilities

  • Maintain and update client contracts, ensuring accuracy and compliance with company policies and legal requirements.
  • Monitor contract expiration dates and renewal deadlines, proactively communicating with clients to facilitate contract renewals.
  • Coordinate contract negotiations and revisions as necessary, working closely with the sales team and legal department.
  • Serve as the primary point of contact for clients regarding service requests, inquiries, and scheduling.
  • Coordinate service activities with field technicians, ensuring timely response to client requests and adherence to service agreements.
  • Maintain a comprehensive schedule of service appointments and communicate updates to clients and internal stakeholders as needed.
  • Generate accurate invoices for services rendered, verifying pricing and contract terms.
  • Coordinate billing inquiries and resolve discrepancies in a timely manner, collaborating with the finance department as needed.
  • Monitor accounts receivable and follow up on outstanding payments to ensure timely collection.
  • Cultivate positive relationships with clients through proactive communication and responsive support.
  • Address client inquiries and concerns promptly, demonstrating a commitment to exceeding customer expectations.
  • Collaborate with the sales team to identify opportunities for upselling services and enhancing customer satisfaction.
  • Maintain organized and up-to-date records of client contracts, service agreements, and correspondence.
  • Prepare reports and documentation for internal and external stakeholders, summarizing contract status, service activities, and client feedback.
  • Ensure compliance with company policies and regulatory requirements related to documentation and record keeping.

Requirements

  • Bachelor's degree in business administration, management, or a related field preferred.
  • Prior experience in contract services, preferably in the environmental or water resources sector.
  • Proven experience in contract administration, customer service, or a related field.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication skills, both written and verbal, with a customer-centric approach.
  • Proficiency in Microsoft Office Suite and experience with CRM software (e.g., Salesforce) preferred.
  • Detail-oriented mindset with a commitment to accuracy and quality.
  • Ability to work independently and collaboratively in a fast-paced environment.

Pay

Hourly base pay range: $17.00 - $30.00. Starting pay may vary based on factors like geographic location, skills, education, and experience. Total earnings may also be affected by overtime, incentives, commissions, performance, and route assignment (where applicable).
