Contract Manager
About the role
This full-time, primarily remote position is based in Burlington, WI (761 Brookview Ave) with occasional travel required for meetings, training, or business-related activities. The role operates Monday to Friday, 8:00am to 5:00pm EST.
Responsibilities
- Manages a portfolio of over 110+ service agreements totaling over $40+ million per year in spends.
- Serves as the first point of contact for contracted vendor relationships, facilitating two-way communication between vendors and HTM leadership/site Clinical Leaders.
- Creates a shared focus on achieving results within the team through consistent communication and engagement.
- Escalates issues with actionable recommendations for quick remediation.
- Identifies standardization opportunities, recommendations, and service evaluations.
- Initiates negotiations, cost-to-value assessments, extensions, or terminations of agreements with suppliers, manufacturers, service providers, and equipment providers.
- Partners with HTM management to improve contract processing through process improvement activities and recommends contractual amendments.
- Monitors contract change dates, initiates and processes necessary amendments, and validates rate increases, fee schedules, and reimbursement methodologies.
- Completes and coordinates approvals for HTM contract justification forms, AH Legal CRAF forms, and HIT Technology Review questionnaires.
- Consults with Legal on contractual issues to ensure terms exceed organizational requirements and are signed by authorized agents.
- Confirms evaluations from relevant departments (IT, Data Security, etc.) are triggered based on contract type and facilitates meetings to complete contract processing.
- Develops and publishes communication on assigned HTM contracts, including email updates, reference tools, product/rate summaries, and operational documents.
- Communicates vendor and contract status to HTM leaders requesting vendor use.
- May lead special projects or system-level agreement reviews.
- Consults and activates GPO contract pricing when aligned with category strategies, ensuring correct pricing in the HTM medical equipment database (CMMS) and updating future pricing monthly.
- Ensures contracted support vendors adhere to agreement terms by reviewing and auditing applicable cost metrics.
- Builds, updates, and maintains the accuracy of the HTM contract database and data integrity for contracts and associated assets.
- Develops detailed standard and ad-hoc reports to analyze underpayment/overpayment issues, amortization, accruals, budget adherence, invoice payments, and department projects.
- Reviews, audits, and processes invoices against contracts and addendums to ensure proper payment, including coding to the general ledger and department accounts.
- Analyzes data trends to identify payment anomalies using Excel spreadsheets.
- Communicates with accounts payable, HTM Business Office, and HTM Senior Leadership to resolve invoice discrepancies and adjust purchase requests/orders.
- Requests and processes credit memos to correct contracts and general ledger entries.
- Utilizes systems and software to track, develop, and maintain reporting tools supporting business decisions, including savings, ROI, and compliance reports.
- Presents HTM savings identified through contract language audits and invoice discrepancies.
Requirements
- Bachelor’s Degree in Health Care Administration, Business, or a related field.
- Typically requires 5+ years of experience in contract and/or vendor management, data analysis and reporting, and capital technology support within a healthcare technology management environment.

Pay
$47.50 - $71.25 per hour.
