About the role
The Contract Coordinator’s primary responsibility is to maintain service agreements for customer fleets as well as other assigned duties.
Responsibilities
- Accurately process service agreements through to completion
- Resolve any incomplete agreements or corrections; communicate with appropriate individuals regarding changes
- Use internal web-based applications (EBS, SharePoint, CRM) for data entry
- Maintain and reconcile fleet equipment in dealer system and SAP
- Invoice monthly maintenance billing for fleet customers (SAP)
- Maintain accurate digital records of all service agreements
- Maintain PM scheduler including warranty registration of new equipment
- Perform data entry and maintenance of appropriate logs and reports
- Add warranty and fleet installation information in dealer system
- Respond to contract-specific inquiries from Raymond West associates in a timely manner
- Process confidential customer information and sales bookings and commissions
- Suggest and implement improvements to workflow
- Participate in special projects as assigned
Requirements
- High School diploma or General Education Degree (GED) is required
- 2-year service contracts experience or comparable industry experience preferred
Skills
- Excellent written and verbal communication skills
- Excellent organizational and time management skills
- Proficient in Microsoft Office Suite and similar software
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
- Ability to prioritize and manage multiple projects simultaneously while paying close attention to detail and accuracy
- Ability to maintain effective working relationships with employees, co-workers, and managers in other departments
- Willingness to work off-hours as specific needs dictate and assume more responsibility as required
- Motivated to continuous self-development and training
Physical Requirements
- Sedentary and deskbound position
- Prolonged periods of sitting at a desk and working on a computer
- Specific vision abilities required: close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus
- Occasionally required to climb or balance and stoop, kneel, crouch, or crawl
- Occasionally required to lift and/or move up to 25 pounds
Pay
The hourly range for this position is $21.00 - $25.00. The specific pay offered may be influenced by factors including the candidate’s relevant experience, education, and work location.
