Career Description
The current vacancy for the position of Fleet Service Assistant is in the Transportation Unit. This position is responsible for compiling fuel data, performing fuel cost analyses, reconciling fuel receipts and issues at all fuel locations. Additionally, the Fleet Service Assistant position is responsible for reviewing and analyzing requests submitted by agency/department to initiate, modify, or replace fuel cards; handling all matters relating to vehicle titles/registration and acquisition of exempt and non-exempt licenses for the light duty fleet; coordinating surplus vehicles for auction and ensuring they are properly prepared and reported.
This position will also help prepare specifications and requisitions for vehicles and related equipment, prepare list of vehicles scheduled for replacement, help prepare certain areas of Transportation’s budget and financial projections as necessary, and serve as liaison with user agency/departments to assure compliance to specifications. This individual will also create, update, and maintain vehicle and equipment records on Transportation’s Fleet Focus management database system, prepare reports, compile maintenance and repair cost statistics, and perform special research projects.
Technical Knowledge
- General Knowledge of: Fuel systems and/or fuel-related services including contracts
- Basic contracts and purchasing practices and policies, budget controls, and accounting processing
- Bid proposal evaluation and purchase requisitions
- Statistical research methods; communication techniques required of gathering; evaluating and transmitting information
- Computerized data base systems, programming techniques, CAPS, ERMI, Advantage Desktop, and business software applications such as Excel, Word, etc.
Communication/Leadership Skills
- Proven Ability to: Interact effectively with vendors, agencies /departments and other persons with tact and good judgment
- Foster and maintain positive working relationships
- Demonstrate decisiveness and soundness in judgment
- Work cooperatively in groups and demonstrate leadership skills when appropriate
Organizational/Analytical Skills
- Proven Ability to: Read, interpret related equipment policies and procedures and apply regulations
- Research, collect and analyze cost and other data and prepare recommendation of findings
- Recognize and prioritize workload
- Identify problems, gather relevant information, establish facts and draw valid conclusions
- Maintain moderately complex records requiring independent judgment and accuracy
