Conference & Event Services Coordinator

About the role

Responsible for coordination of Campus events set-up, breakdown, and turnover. Plan and manage schedule of events for campus ensuring timely set up and breakdown. Communicate with Conference Services Office Staff and other departments regarding events. Computer literate in Outlook and other database platforms.

Responsibilities

• Coordinate campus event set-up, breakdown, and turnover for all events.
• Review upcoming event schedules and work with team members to assist as needed.
• Assist the catering department with event setup as needed.
• Request custodial assistance for future events through WebTMA (work order database system).
• Ensure that all meeting spaces are properly cleaned and work with Facilities to address any concerns.
• Report any needed repairs or maintenance needs to event spaces through WebTMA; follow-up to ensure completion.
• Provide a high level of positive customer interaction dealing with public and internal clients and assist guests by answering their questions or inquiries.
• Maintain college furniture and supporting equipment in peak performance and organized storage rooms.
• Perform a periodic inventory of all tables, chairs, etc.; request replacements as needed.
• Ensure building access is available prior to the event and secure the building after the event ends.
• Contact Facilities if the room event temperature needs to be adjusted.
• May perform some basic building maintenance tasks at the event space.
• Perform other duties as assigned.
