About the Role

The Member Experience Coordinator (MEC) is the initial point of contact for our clients (patients) and their primary role is to ensure our patients have an exceptional 5-star experience. This position is administrative in nature, with some emphasis in helping to facilitate the sales process, supporting our Program Consultants, and establishing/maintaining vendor contracts and building management needs. The MEC is responsible for tracking and scheduling consultations, follow-up appointments, meeting with Center physicians, Performance Health Coaches (PHCs), and clients, answering phones, emails/texts, ordering patient lunches, and assisting in the closing-out of consultations to deliver a seamless client experience.

Responsibilities

Clinical Responsibilities

  • Maintain patient information in compliance with HIPAA regulations and state and federal statutes regarding the retention and storage of Protected Health Information (PHI)
  • Complete program close/conversion process and any changes as needed per the center physician
  • Receive and process all orders from patients, including prescriptions, over-the-counter (OTCs), and nutraceuticals
  • Maintain calendar appointments in accordance with the center team
  • Coordinate office maintenance, including arranging repairs, managing vendor compliance, handling pick-ups/deliveries, and ordering/refilling office supplies (e.g., patient snacks, restroom supplies)
  • Ensure the office is presentable at all times, including light housekeeping duties
  • Track consultations and take appropriate action when there is no response
  • Perform administrative tasks such as scanning, filing, data entry, and answering phones
  • Schedule lab reviews and patient follow-ups virtually and/or in-person
  • Work with physicians and PHCs to process program closes
  • Educate patients by providing medication and diet information and instructions, answering questions in conjunction with physicians and PHCs
  • Complete records by documenting patient examination, treatment, and test results
  • Update job knowledge through educational opportunities, professional publications, and networking
  • Handle medications, including counting, recording doses, and explaining usage

Sales/Retail Responsibilities

  • Assist in the facilitation of cross-selling and upselling additional services, including referrals (friends & family sales)
  • Support Center Key Performance Indicators (KPIs) related to sales and retail
  • Ensure the assigned center exceeds sales targets through direct oversight, selling, and education
  • Collaborate with cross-functional teams to develop and execute business strategies
  • Lead the team in implementing corporate initiatives while delivering a positive client experience
  • Optimize in-store merchandising and brand presentation, conduct inventory checks, and escalate issues to leadership
  • Meet regularly with leadership to review center performance and strategize on sales/retail objectives
  • Lead the team to deliver a compelling client experience

Other administrative duties as assigned. Regular and reliable attendance is an essential function of the job.

Requirements

  • A relationship builder with high emotional intelligence (EQ) and strong collaboration and communication skills
  • Self-starter mentality with a hands-on approach to making tangible impacts
  • Relentless focus on optimization and goal achievement (entrepreneurial spirit)
  • Familiarity with HIPAA compliance and healthcare best practices (preferred)
  • Strong judgment, work ethic, professionalism, and integrity
  • Understanding of basic math functions (division, multiplication, percentages)
  • Punctual attendance and ensures work responsibilities are covered when absent
  • Demonstrated accuracy and thoroughness in task execution

Qualifications

  • High School diploma or GED
  • 2+ years of client and/or patient-facing experience in sales, retail, or service industries, with administrative or operational support responsibilities
  • 2+ years of outpatient healthcare setting experience preferred
  • Ability to maintain strict confidentiality regarding sensitive patient and proprietary information
  • Certified Medical Assistant (CMA) certification is preferred
  • Professional, neat, and well-groomed appearance
