Responsibilities
- Collect rents and maintain computer records according to Abode Communities’ procedures.
- Process rent adjustments in accordance with established procedures.
- Maintain compliance with Low-Income Housing Tax Credits by ensuring all files are accurate and audited.
- Monitor expenses to ensure spending is within budgetary guidelines.
- Provide explanations for monthly budget variances.
- Post charges associated with work orders, late charges, etc., and generate notices for residents.
- Follow up on delinquent accounts and pursue collections in accordance with established procedures.
- Promote Housing First principles by proactively working with tenants and supportive service staff to help residents maintain housing.
- Establish and maintain a waiting list per established procedures, ensuring four applicant households per unit.
- Proactively market all units to low-income eligible households and maintain communication with referral agencies.
- Show vacant apartments using professional marketing procedures to maintain high occupancy.
- Maintain tenant files and related documentation regarding continuing eligibility and adjustments.
- Verify eligibility according to property requirements, including checking references and using approved credit and criminal investigative services.
- Complete rental agreements and prepare move-in/move-out reports.
- Make daily deposits, if appropriate, and prepare reports in accordance with established procedures.
- Address resident concerns in a timely and professional manner, collaborating with service providers as needed.
- Document and report all issues to the Regional Property Supervisor and management.
- Send/post notices regarding compliance with rules and regulations when violations occur.
- Issue purchase order numbers and track purchases through Abode’s online purchasing system.
- Review invoices for correctness, accuracy, and proper coding.
- Complete and submit incident reports for unusual events, especially those involving injury or damage.
- Maintain the property business office in a neat, orderly, and business-like manner with regularly scheduled office hours.
- Interpret and apply personnel policies, departmental policies, and other procedures for assigned staff.
- Train or assist in training other site personnel as needed.
- Prepare and review performance appraisals and discuss them with subordinates.
- Counsel employees regarding job performance and document in accordance with established procedures.
- Recommend disciplinary action as needed and coordinate functions to ensure a safe and productive work environment.
- Oversee maintenance of buildings, sites, and community spaces to ensure they are clean, inviting, and safe.
- Oversee maintenance of grounds, trash container areas, and common areas to prevent trash or debris accumulation.
- Ensure all vacant apartments are cleaned and made ready for occupancy within six days after move-out.
- Log resident complaints and dispatch maintenance personnel promptly.
- Generate work orders, coordinate repairs, and close out work orders in accordance with established procedures.
- Conduct daily property inspections to ensure adherence to established standards.
- Maintain records of unit status (filled, vacant, anticipated vacancy, etc.).
- Assist with security activities by communicating with security personnel regarding specific problems.
- Be available for emergency calls either personally or through other site personnel.
- Maintain community-owned materials and tools in a neat and orderly manner.
- Counsel residents not complying with lease terms or concerning delinquent payments.
- Refer residents with special problems to resident services staff or appropriate agencies.
- Regularly meet with Resident Services Coordinator to address issues, promote retention, and support resident activities.
- Resolve conflicts and complaints among residents to avoid grievances.
- Ensure all residents are treated fairly and consistently; recommend eviction if warranted and prepare supporting documentation.
- Participate in hearings and appeals as needed.
Requirements
- Minimum two years of property management experience, including Tax Credit, HUD, and HOME programs.
- High school diploma or equivalent.
- Computer literate (MS Office).
- Strong English communication skills, both verbal and written, for interacting with residents, vendors, and coworkers.
- Bilingual Spanish-English is a plus.
- Professional and positive attitude toward residents, staff, vendors, and other organizations.
- Valid CA driver’s license and auto insurance.
