About the Role
The Community Assistant supports property management in leasing and enhancing the living experience for residents and parents through excellent customer service and adherence to American Campus Basic Operating Standards and Systems (BOSS). This position requires enrollment in a degree or certificate program from an accredited college or university.
Responsibilities
- Conduct all functions necessary to close sales, including scheduling appointments, generating leads, conducting tours, maintaining show rooms, and completing prospect follow-up.
- Adhere to all American Campus Communities policies and procedures while providing exceptional customer service.
- Work structured administrative shifts in the office, which may include evenings, weekdays, weekends, and holidays.
- Serve assigned "Community Assistant On-Call" shifts, which may occur at any time, including overnight.
- Fully participate in Turn, Move-In, and Move-Out processes.
Leasing and Marketing
- Conduct leasing tours, answer leasing phone calls, and process online inquiries.
- Complete guest cards for each prospective resident contact, whether by phone or in person.
- Enter prospective resident information into the Salesforce leasing management system accurately and promptly.
- Participate in orientation marketing, housing fairs, open houses, social media initiatives, and community events.
- Assist with renewal marketing campaigns, including renewal events.
- Support off-site marketing efforts on campus, in the community, and at special events.
- Plan and execute social media strategies, creating and publishing content across platforms.
- Interact with resident communities and target audiences to project a favorable community image.
Basic Operating Standards and Systems
Cleanliness
- Dress in appropriate attire as outlined by ACC standards.
- Maintain community cleanliness by regularly surveying common areas for cleanliness, appearance, and working order.
- Report any life safety hazards or maintenance concerns immediately.
Community Engagement
- Serve as a resource for residents and parents regarding the property, local university, and community.
- Participate in and promote ACC programming and initiatives.
- Respond to and document resident behaviors that violate laws or the ACC lease agreement.
- Communicate and enforce community safety, emergency, and fire evacuation policies.
- Encourage respect and appreciation for individual differences.
- Mediate conflicts to foster a respectful living community.
Customer Service
- Exhibit a welcoming and professional attitude when interacting with prospective and current residents and parents.
- Act as a resource for all customer service concerns.
- Be familiar with general maintenance policies and assist in after-hours maintenance emergencies.
Team Collaboration
- Prioritize availability for CA scheduling when considering extracurricular activities.
- Attend and contribute to weekly staff meetings and any special/emergency meetings.
- Participate in all staff training and orientation, which may include evenings, weekdays, and weekends.
- Assist in the recruitment, selection, and training of new staff members as requested.
- Maintain a professional attitude and manner in work relationships.
- Model and encourage a positive attitude among staff.
Administrative Tasks
- Complete room/apartment inventories, key checks, and common area inventories as assigned.
- Complete and submit required reports.
- Distribute materials and messages from or approved by the Manager in a timely manner.
- Facilitate the administration of the Community Service Survey.
- Accurately conduct student census as needed.
Turn, Move-In, and Move-Out
- Work as scheduled during Turn, Move-In, and Move-Out, which may include extended hours or multiple consecutive days.
- Participate fully in the preparation and administration of Turn, Move-In, and Move-Out.
- Assist in the make-ready of units, including removing trash, documenting damages, cleaning, painting, assembling/moving furniture, and performing small repairs.
- Maintain grounds, clubhouse, office, and common areas, including picking up trash, cleaning, painting, and basic landscaping.
- Escort vendors throughout the community as directed and stay with them until projects are completed.
Requirements
- Enrollment in a degree or certificate program from an accredited college or university.
- Availability to work regularly assigned office and on-call shifts, including weekdays, weekends, evenings, and holidays.
- Periodic availability to work events that may occur in the evenings or on weekends.
