Job Responsibilities
- Answer telephone calls promptly.
- Absorb and assist callers as needed (i.e., scheduling appointments, verifying directions, etc.).
- Screen and direct calls to appropriate personnel and take messages when necessary.
- Retrive and process voicemails hourly to ensure a timely response.
- Remain up-to-date with all scheduling protocols and physician preferences to ensure smooth patient flow.
- Monitor incoming appointment requests from the patient portal and respond in a timely fashion.
- Assist with bulk mailings, preparing labels (i.e., recall cards, address, files, etc.).
- Process mail incoming, outgoing and courier deliveries when necessary.
- Handle other duties as assigned.
Work Experience & Education & Training
- High school diploma or equivalency.
Work Orientation & Experience
- Experience operating a multi-line switchboard preferred.

- Ability to:
- a) Maintain appropriate, professional conduct and appearance at all times, following office dress code consistently;
- b) Complete work in an established time frame, seek appropriate tasks when primary tasks are completed or pace is slow;
- c) Demonstrate willingness to perform other duties to assist the team effort for the benefit of the patients, physicians and fellow team members;
- d) Consistently arrive at work on time and complete all tasks or arrange for coverage before leaving for the day or lunch;
- e) Maintain desk and business areas in a professional, neat manner.
