As a key player in communications operations, you will optimize internal communications, ensure critical messages resonate across the organization, and empower a team of Communications Business Partners to perform at their best.
Responsibilities
- Coordinate the day-to-day activities for a team of Communications Business Partners, ensuring priorities are met, project timelines are maintained, and deliverables remain on track.
- Plan and execute the logistical aspects for internal engagement initiatives, including town halls, leader office hours, coffee chats, and functional events, working closely with administrative and events teams.
- Maintain and optimize core team calendars, strategically aligning key leadership engagements, critical communications moments, and project milestones while proactively resolving scheduling conflicts.
- Manage shared mailboxes and communication channels, efficiently triaging incoming requests, providing timely responses, and escalating issues as appropriate.
- Create, update, and standardize Standard Operating Procedures (SOPs), templates, and essential documentation. Build and maintain robust team knowledge management norms, structuring shared drives for easy access to up-to-date information.
- Partner effectively with communications colleagues, administrative staff, event management, and operational teams across the organization to ensure seamless execution of initiatives.
- Continuously identify and implement opportunities to simplify workflows, eliminate friction points, and enhance overall team productivity and efficiency.
Requirements
- 5–8 years of experience in corporate operations, creative operations, program coordination, or administrative support roles. Experience supporting internal communications or marketing teams is highly desirable.
- Bachelor’s degree or equivalent practical experience.
- Demonstrated ability to manage complex, multi-track projects in a fast-paced environment.
- Proficient in Google Workspace (Docs, Sheets, Slides, Calendar, Gmail) and experienced with modern work management and project tracking platforms.
- Excellent written and verbal communication skills with strong interpersonal capabilities, enabling you to build effective relationships across diverse cross-functional teams.
- Meticulous attention to detail combined with a proactive, solutions-oriented approach to problem-solving.
Nice-to-Have Skills
- Familiarity with basic graphic design principles or visual tools.
