About the role

Aquent is partnering with a leading healthcare organization dedicated to making a profound impact on global health. This role is central and highly visible, designed for someone who thrives on keeping teams connected, organized, and running efficiently. You will optimize workflows, manage event logistics, and establish clear operational systems to empower a team of Communications Business Partners.

Responsibilities

  • Coordinate day-to-day activities for a team of seven Communications Business Partners, ensuring priorities, project timelines, and deliverables are met.
  • Plan and execute logistical aspects of internal engagement initiatives, including town halls, leader office hours, coffee chats, and functional events, collaborating with administrative and events teams.
  • Maintain and optimize core team calendars, aligning leadership engagements, critical communications moments, and project milestones while resolving scheduling conflicts.
  • Manage shared mailboxes and communication channels, triaging requests, providing timely responses, and escalating issues as needed.
  • Create, update, and standardize Standard Operating Procedures (SOPs), templates, and documentation, and build team knowledge management norms.
  • Partner with communications colleagues, administrative staff, event management, and operational teams to ensure seamless execution of initiatives.
  • Continuously identify and implement opportunities to simplify workflows and enhance team productivity and efficiency.

Requirements

  • 5–8 years of experience in corporate operations, creative operations, program coordination, or administrative support roles.
  • Experience supporting internal communications or marketing teams is highly desirable.
  • Bachelor’s degree or equivalent practical experience.
  • Proficient in Google Workspace (Docs, Sheets, Slides, Calendar, Gmail) and experienced with work management and project tracking platforms (e.g., Monday.com).
  • Excellent written and verbal communication skills with strong interpersonal capabilities.
  • Meticulous attention to detail and a proactive, solutions-oriented approach to problem-solving.

Nice-to-Have Skills

  • Familiarity with basic graphic design principles or visual tools.

Pay

The target hiring compensation range for this role is $47.15 to $52.39 an hour. Compensation is based on factors including education, relevant work experience, certifications, and location.
