Commercial Loan Documentation Specialist
About the role
The Commercial Loan Documentation Specialist is responsible for preparing, reviewing, and managing commercial loan documentation and closing packages to support accurate and timely loan processing. This role works closely with Commercial Banking Associates, lenders, and internal partners to ensure loan files are complete, compliant, and properly documented throughout the lending process. The Commercial Loan Documentation Specialist plays a key role in supporting commercial lending operations by verifying due diligence requirements, preparing loan documentation packages, coordinating closing activities, monitoring exception resolution, and maintaining accurate records. This position contributes to a high level of service for both internal and external customers while ensuring compliance with regulatory requirements, bank policies, and established procedures. This is a full-time, on-site position based in Charleston, WV, Huntington, WV, Denton, MD, or Moorefield, WV.

Loan Documentation & Closing Support
- Enter and maintain loan information within the LoanVantage commercial lending system.
- Verify pre-closing loan due diligence requirements using established LoanVantage checklists.
- Prepare commercial loan documentation and closing packages through the commercial loan documentation system.
- Review loan documentation for accuracy, completeness, and compliance using established quality control procedures.
- Ensure loan files contain all required forms, signatures, supporting documentation, dates, and other required information.
- Verify the proper disbursement of loan proceeds prior to providing loan files for closing.
- Coordinate the delivery of loan closing packages to Commercial Banking Associates and lenders for execution.
File Management & Quality Control
- Perform post-closing review functions to ensure documentation accuracy and completeness.
- Monitor loan files and pending documentation requirements to promote timely file completion.
- Work with Loan Review and other internal partners to resolve exceptions and documentation deficiencies.
- Maintain accurate records and documentation in accordance with Bank policies and regulatory standards.
- Follow established security, compliance, and internal control procedures to protect Bank and customer assets.
Customer & Internal Support
- Provide support and guidance to Commercial Banking Associates and Commercial Banking team members to ensure quality service and operational efficiency.
- Respond to inquiries and requests for information from internal and external stakeholders.
- Maintain regular communication with internal departments, customers, legal representatives, and other third parties as needed to obtain required documentation and information.
- Support the Commercial Banking team in delivering exceptional service and meeting organizational expectations.
Other Duties
- Cross-sell financial products and services and make referrals to Burke Mortgages, Burke Financial Services, and Retail Banking partners.
- Remain current on loan documentation requirements, lending practices, policies, procedures, and regulatory developments through ongoing training and professional development.
- Other duties as assigned.
Qualifications
- Associate's degree in Business, Finance, Accounting, Banking, or a related field, or an equivalent combination of education and experience preferred.
- Minimum of two years of loan documentation, loan operations, commercial banking support, or related banking experience preferred.
- Experience with commercial loan documentation preparation and closing processes preferred.
- Familiarity with commercial lending systems such as LoanVantage preferred.
- Working knowledge of commercial loan documentation requirements, lien perfection, and regulatory compliance preferred.
- Strong proficiency in Microsoft Office applications, including Word, Excel, and Outlook required.
- Experience working in a financial institution or commercial banking environment preferred.

Pay
- For Applicants located in Denton, MD (MD): The anticipated salary range for this position is $20.00-$25.00 per hour.
- For Applicants from all other locations: The salary will be based on experience, qualifications, and geographic location.
