Position Summary
Heitmeyer is supporting a banking partner who is seeking a Commercial Loan Documentation Specialist. This position is responsible for preparing, reviewing and validating loan documentation for commercial loan transactions. This role ensures loan packages are complete, accurate, compliant with bank policies and regulations and ready for closing and booking. It is a critical risk management function and works closely with lenders, credit personnel, operation teams and customers throughout the loan process.
Required Qualifications
- Minimum of 3 years of experience in commercial lending, loan documentation, loan operations, or banking operations
- Strong knowledge of commercial loan documentation and lending processes
- Experience reviewing and validating loan files for accuracy and completeness
- Ability to interpret loan approvals, loan terms, and supporting documentation
- Strong organizational and time management skills
- Excellent attention to detail and accuracy
- Strong verbal and written communication skills
- Ability to manage multiple files, deadlines, and priorities simultaneously
- Ability to maintain confidentiality of customer and loan information
Preferred Qualifications
- Bachelor’s degree in Business, Finance, Accounting, Banking, or a related field
- Specialized commercial lending or credit training
- Experience with commercial real estate, C&I, SBA, or agricultural lending documentation
- Experience with loan origination systems and loan documentation software
- Knowledge of regulatory lending requirements and collateral documentation
- Experience in quality control or post-closing reviews
- Prior banking or financial institution experience supporting commercial lenders
Key Responsibilities
- Commercial Loan Documentation
- Prepare and review commercial loan documentation for accuracy and completeness
- Ensure all required documentation is received prior to closing and funding
- Validate loan packages against approval conditions and documentation checklists
- Verify supporting documentation and independently authenticate information when necessary
- Perform secondary reviews of loan documentation packages when required
- Post-Closing & Quality Control
- Conduct post-closing reviews of completed loan files
- Identify, document, and clear documentation exceptions and deficiencies
- Support quality control initiatives and departmental review processes
- Maintain records related to timely loan booking and funding activities
- Monitor documentation pipelines and closing requirements to ensure files remain on track
- Risk Management & Compliance
- Prepare loan settlement documentation in accordance with bank policies and regulatory requirements
- Ensure documentation meets internal compliance standards
- Maintain confidentiality of customer and business information
- Absorb and assist with fraud prevention and risk mitigation efforts
- Complete required compliance and regulatory training on schedule
- Operational Support
- Manage multiple commercial loan files simultaneously
- Prioritize workload to meet funding and closing deadlines
- Cook up with lending, underwriting, operations, and other internal departments
- Escalate issues and documentation concerns to management when appropriate
- Participate in special projects and process improvement efforts as assigned
- Training & Team Support
- Assist with training and knowledge sharing across the department
- Maintain expertise on lending procedures, documentation standards, and policy updates
