This position serves as both the Commerce Program Coordinator and the Office Manager, overseeing daily administrative operations, program coordination, and grants management for commerce-focused initiatives.
Responsibilities
- Develop and implement office procedures to meet department objectives.
- Act as a key system administrator for the Grants Management System and Management Information System.
- Schedule and organize meetings, prepare agendas, and take minutes when necessary.
- Organize, arrange, and attend conferences and seminars related to department objectives.
- Coordinate office activities with directors and professional staff, monitor workflow, and report to supervisors.
- Prepare statistical and financial reports for department officials.
- Compile and maintain administrative records, such as budget, purchasing, and accounting information.
- Assist in resolving operational and administrative issues; conduct research and implement recommendations.
- Coordinate grant administration activities, including reviewing and monitoring grant applications.
- Maintain a working knowledge of the Division of Adult Education strategic plan.
- Collect, update, and track division office activities relative to progress on goals and objectives.
- Apply federal, state, and agency policies, procedures, and guidelines to facilitate processes.
- Research and verify information to provide technical assistance to the public, staff, and other entities.
- Identify potential problems and recommend cost-effective, feasible solutions.
- Protect the integrity of confidential agency, client, student, and employee information.
- Maintain files of correspondence, reports, and subject matter material.
- Assist others in the department as needed and submit weekly, monthly, and annual reports.
- Respond to GED and adult education inquiries from the public; process GED transcripts and WAGE certificates.
- Create documents and templates using MS Word, Excel, and PowerPoint.
- Collaborate with management and staff to share and receive updated information.
- Design, plan, and implement commerce-related programs or projects to foster economic development.
- Develop strategic goals and timelines to meet organizational objectives.
- Monitor program progress, adjust strategies, and evaluate outcomes for effectiveness.
- Collaborate with local businesses, community groups, economic development organizations, and governmental agencies.
- Organize meetings, workshops, and events to foster relationships and enhance program participation.
- Oversee budget preparation and allocation for commerce initiatives; track expenditures and prepare financial reports.
- Develop and execute outreach strategies, including social media, newsletters, and website updates.
- Assist with grant writing and securing funding from external sponsors.
- Maintain comprehensive program records and documentation; prepare progress and performance reports.
- Use data analytics to monitor program outcomes and inform future decisions.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree in Business Administration, Office Administration, Communications, Public Relations, or a related field (or equivalent education).
- Two years of experience in office or program administration, public relations, or a related field.
- One year of experience in a supervisory or leadership capacity.
- Demonstrated initiative, analytical ability, responsible discretion, and motivation to work with minimal supervision.
- Critical thinking skills and a high level of integrity.
- Proficiency in Microsoft Office products, especially Excel and Word.
- Database management experience (e.g., Microsoft Access) is preferred.
- Effective oral and written communication skills, including accurate grammar, punctuation, and spelling.
- Public presentation experience (desired).
- Good mathematical aptitude and strong management and organizational skills with attention to detail.
- Bachelor’s degree in Business Administration, Public Administration, Economics, Finance, or a related field (for Commerce Program Coordinator responsibilities).
- Minimum of 4 years of experience in program coordination, project management, economic development, or a similar role.
Pay
Salary range: $57,351 – $84,879.

This position requires on-site employment with no remote or hybrid options available.
