About the role
The Collections Clerk assists in generating and mailing letters, itemized bills, and other patient correspondence while ensuring compliance with HIPAA and FDCPA guidelines.
Responsibilities
- Scan correspondence and documents into internal software
- Complete pending tasks report daily
- Track, update, print, and mail correspondence
- Analyze patient accounts flagged for disputes
- Verify billing accuracy, insurance payments, and patient responsibility
- Identify discrepancies and determine the root cause of disputes
- Identify accounts with legal representation and initiate contact with attorneys’ offices to verify representation and obtain necessary documentation
- Maintain accurate records of attorney communications and legal documents related to patient accounts
- Coordinate with attorneys regarding payment arrangements, account status, and dispute resolution
- Draft and manage responses to patient/attorney liens/disputes
- Use, protect, and disclose patients’ protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards
- Understand and comply with Information Security and HIPAA policies and procedures at all times
- Limit viewing of PHI to the absolute minimum necessary to perform assigned duties
- Other duties as assigned
Requirements
- High school diploma or equivalent required
- 1 year experience working as a clerk or similar role
- Ability to learn in-house applications
- Proficiency in Microsoft Office Suite
- Strong interpersonal skills and ability to communicate well at all levels of the organization
- Strong problem-solving and creative skills with the ability to exercise sound judgment
- High level of integrity and dependability with a strong sense of urgency and results orientation
- Excellent written and verbal communication skills
- Gracious and welcoming personality for customer service interaction
- Must possess a smartphone or electronic device capable of downloading applications for multifactor authentication and security purposes
Working Conditions
Physical Demands: While performing the duties of this job, the employee is occasionally required to move around the work area; sit; perform manual tasks; operate tools and other office equipment such as computer, computer peripherals, and telephones; extend arms; kneel; talk and hear.
Mental Demands: The employee must be able to follow directions, collaborate with others, and handle stress.
Work Environment: The noise level in the work environment is usually minimal.
